We are looking for a dedicated Human Resources (HR) Assistant to join our team on a long-term contract basis in Tacoma, Washington. In this role, you will play a vital part in supporting daily HR functions, ensuring smooth front desk operations, maintaining employee records, and assisting in event coordination.

Responsibilities

  • Serve as the first point of contact at the front desk, welcoming and assisting guests, employees, applicants, and vendors.
  • Manage office supply inventory and place orders to ensure smooth daily operations.
  • Handle incoming and outgoing mail, ensuring timely distribution and processing.
  • Maintain accurate and confidential employee records, including attendance tracking and disciplinary documentation.
  • Enter new employee information into the system and organize HR files for easy access and compliance.
  • Set up the training room weekly for onboarding, meetings, and company presentations.
  • Assist the HR team with day-to-day responsibilities, supporting the recruiter and generalist as needed.
  • Plan and execute company events such as holiday celebrations, summer picnics, and Veterans Day lunches.
  • Update bulletin boards with company news and events, and take photos for internal communications.
  • Write and gather content for the quarterly newsletter, focusing on HR-related updates and initiatives.

Requirements

  • Proven proficiency with HR systems such as UKG Pro or similar platforms.
  • Strong multitasking abilities to manage diverse responsibilities in a dynamic environment.
  • Bachelor’s degree in business or a related field, or equivalent relevant experience preferred.
  • HR-related certifications such as SHRM-CP are a plus.
  • Excellent organizational skills with a keen attention to detail and a commitment to confidentiality.
  • Exceptional communication and interpersonal skills to foster positive relationships with employees and vendors.
  • Experience coordinating employee events and managing internal communications is highly desirable.
  • Valid driver’s license and willingness to travel occasionally to other company locations.
