UF/IFAS is seeking a dynamic, professional and dedicated Human Resources Generalist II to join the Agricultural and Biological Engineering department (ABE). This position reports to the Assistant Director of Admin Services and serves as the primary HR support for the department, providing professional expertise on employee lifecycle processes, recruitment, payroll, leave, and disciplinary actions while ensuring compliance with laws and university regulations.

Responsibilities

  • Personnel: Independently oversees all HR functions of the department. Implements a broad range of human resource functions and programs, including recruitment, payroll, leave, and employee relations.
  • Manages/oversees full-cycle recruitment process, including posting positions, recruiting applicants, and coordinating search committee/applicant reviews.
  • Develops and updates position descriptions and organization charts in collaboration with the Assistant Director of Administrative Services.
  • Advises faculty on creating and updating position descriptions, including reclassification requests for faculty and TEAMS employees paid through grant projects.
  • Advises leadership on personnel needs and organizational structure.
  • Investigates and resolves complex or unusual payroll issues.
  • Reviews and prepares initial payroll distributions for faculty, staff, post-docs, fellows, graduate students, student assistants, and OPS.
  • Reviews OPS appointments to ensure compliance with funding availability.
  • Maintains all personnel records for faculty and staff.
  • Advises faculty and staff on leave regulations and monitors leave use for compliance.
  • Supervises handling of all leave records for faculty and staff.
  • Prepares all personnel appointments, change orders, and terminations in a timely manner.
  • Provides guidance to leadership on employee relations matters and assists with initial discussions regarding employee disputes.
  • Collaborates with Employee Relations to facilitate resolution of disputes.
  • Maintains confidentiality of sensitive matters concerning disciplinary action, grievances, or other personnel problems.
  • Faculty Evaluations and Tenure & Promotion: Requests and prints reports annually. Facilitates the tenure and promotion process by preparing materials for promotion and tenure applications using the Faculty Excellence program (FEA).
  • Policy & Procedure: Analyzes federal and state laws, and university regulations to ensure HR programs are effective and compliant.
  • Interprets and communicates HR policies and procedures to faculty and management.
  • Contributes to the creation and revision of internal HR policies and procedures.
  • Provides training on HR policies, procedures, and the HR tracking system.
  • Attends faculty meetings as a resource on personnel matters and represents the Department Chairman at HR-related meetings.
  • Scholarships & Fellowships: Evaluates transaction requests for compliance with university, state, and federal rules.
  • Requests additional documentation or escalates complex transactions as needed.
  • Processes all transactions accurately and within established timeframes.
  • Assists with developing action plans for specific transactions.
  • Contacts faculty supervisors for appropriate funding sources for graduate students’ tuition remission.
  • Monitors tuition expenditures of grant funds to ensure compliance with contract terms.
  • Reviews LOA reports to prevent budget errors and ensure tuition aligns with payroll for GAs.
  • Processes and monitors all scholarship accounts and disbursements.
  • Budgetary: Monitors department budget and collaborates with Fiscal and/or Grants Teams to ensure sufficient funding for hires, salary updates, and other HR actions.
  • Maintains files of administrative procedures and regulations affecting department operations.
  • Provides general supervision for OPS employees.
  • Performs other duties as assigned.

Requirements

  • Bachelor’s degree in an appropriate area of specialization and two years of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications

  • Fluency in Microsoft Office, with a focus on Excel and Word.
  • Well-versed in UFHR rules and regulations.
  • Notary Public certification.
  • SHRM Certified Professional, HRCI Professional of Human Resources, or HRCI Senior Professional of Human Resources (SPHR).
  • Working knowledge of UF systems: PeopleSoft/MyUFL, Enterprise Analytics, PageUp.

Pay

$53,000 plus, commensurate with education and experience.
