About the role

The Human Resources Coordinator performs administrative tasks and services to support the effective and efficient operations of the District's Human Resources department. The successful candidate/team member must possess exceptional communication skills, be courteous, professional, self-motivated, and have the ability to multitask in a fast-paced environment.

Responsibilities

  • Provides comprehensive administrative support to the Assistant Superintendent of Human Resources and Director of Human Resources in the daily operations of the Human Resources Department.
  • Affords assistance with HR correspondence, reports, data collection, special projects, meetings, trainings, and other administrative functions as directed by the Assistant Superintendent of Human Resources and Director of Human Resources.
  • Posts vacancies for all support staff, athletic coaching, and Fine Arts stipend positions.
  • Manages the onboarding employment process of all support staff, athletic stipend, Fine Arts stipend, volunteer, and other part-time and seasonal positions.
  • Processes the legal review of background checks, including the drafting and certified mailing of all unfavorable determinations.
  • Conducts and/or assists with new staff training and orientations.
  • Manages and organizes the Support Staff Handbooks.
  • Maintains Support Staff compliance and database management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Maintains and records employee training files as related to job requirements and onboarding, including but not limited to ISBE and other mandatory requirements.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately per Board policy, Regional Office of Education, and ISBE requirements.
  • Responds to all third-party requests regarding employee verification.
  • Posts and maintains general HR information, forms, announcements, and time-sensitive communications on the district intranet.
  • Serves as a resource to applicants and employees by responding to routine questions regarding HR policies, benefits, hiring and onboarding processes, employment requirements, and other general HR matters.
  • Coordinates with the Business Office, Student Services, schools, transportation providers, and the Illinois Secretary of State to facilitate required transportation clearances for school-sponsored trips and activities, and to maintain annual and ongoing clearance processes for bus and cab transportation personnel.
  • Works with Student Services on annual/yearly bus driver and cab transportation company clearance at the district office level and throughout the year as new drivers onboard.

Qualifications

  • High school diploma or relevant qualification (minimum).
  • Prior related office experience preferred.
  • Motivated to continuously learn and develop industry-related skills and certifications (required).
  • Hands-on experience with office equipment (e.g., phone systems, fax machines, fingerprinting, and printers).

Skills

  • Communicates clearly and professionally, both verbally and in writing, with applicants, employees, and District departments, managing sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Maintains a high level of integrity and trustworthiness in handling privileged HR information.
  • Interprets HR policies, background check determinations, and compliance requirements accurately.
  • Exercises strong organizational judgment to manage multiple deadlines, audits, and administrative priorities in a fast-paced environment.
  • Uses intermediate computer proficiency (Google Workspace, Microsoft Office Suite, social media/recruiting platforms, HRIS, and payroll systems) to support HR operations.

Benefits

Compensation and benefits specified for this support staff position. Specific terms are set by the Board of Education and detailed in the individual employment offer.

  • Salary range based on experience: $80,000 - $95,000
  • 12-month position (260 paid days); start date ASAP through June 30, 2027
  • Number of Paid Hours (annual): 2,015
  • Number of Paid Work Hours per day: 7.75
  • Paid time off: 10 days paid vacation, 17 paid holidays, 14 sick days
  • Health & welfare benefits: Medical and dental insurance, Paid term life insurance policy equal to annual base salary, Illinois Municipal Retirement Fund (IMRF) pension - employees vested after 10 years of employment

Pay

Salary range based on experience: $80,000 - $95,000

Schedule

Standard schedule is Monday-Friday, 7:30 a.m.-4:00 p.m.; occasionally, program necessity requires working hours beyond set hours and days

Physical and Mental Demands

  • Work is performed in an office setting with extended periods of time sitting and/or standing.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Exposure to video display terminals occurs on a regular basis.
  • Must be able to lift 20-25 pounds unassisted.

Working Conditions

  • Ability to accept work interruptions in a considerate, helpful manner.
  • Communication may not always be cooperative in nature and requires tact and discretion.
