About the Role

The Human Resources Coordinator performs a variety of confidential, administrative, and daily clerical tasks to support the overall operations of the Human Resources Department. This includes preemployment, orientation, onboarding, scheduling and assigning training, benefits enrollment and deactivation, leave of absence, and workers’ compensation claim intake. The role requires the ability to work under minimal supervision, perform independent research, and demonstrate strong problem-solving skills with a focus on confidentiality and compliance.

Responsibilities

  • Serve as the primary customer service point of contact for employee inquiries and requests.
  • Coordinate pre-employment background checks, fingerprint appointments, and PPD scheduling.
  • Assist with the explanation and coordination of employee benefits for new hires and ongoing employees.
  • Set up, data entry, and updates in HRIS, benefits, and training portals.
  • Maintain and update employee information in HRIS, training databases, and other systems, including status changes and personnel record transactions.
  • Respond to HRIS questions from employees and internal teams, resolving issues related to access, passwords, and routine system use.
  • Prepare and maintain employee files, perform routine filing, scanning, and archiving to ensure record retention compliance.
  • Manage the E-Verify I-9 process, verify I-9 documentation, and maintain I-9 files.
  • Manage the HR Mailbox by responding to inquiries and routing them to the appropriate HR contact.
  • Handle leave of absence and workers’ compensation intake processes and escalate to the appropriate HR contact for continued oversight.
  • Prepare and process employment verification requests and unemployment claims accurately and within established timelines.
  • Generate reports, review data outputs, and identify discrepancies requiring correction or follow-up.
  • Manage departmental supply requisitions, inventory, and expense reimbursements.
  • Serve as the point of contact for internal departmental compliance audits, including those for Finance, Payroll, and other HR-related audits.
  • Participate in audit support, system testing, and troubleshooting efforts tied to HR processes and data quality.
  • Collaborate with the HR team, including Recruiters and HR Generalists, to ensure seamless coordination on onboarding, LOA administration, workers’ compensation, and other tasks.
  • Provide backup support in Human Resources and Recruitment as needed to meet business demands.
  • Contribute to projects and initiatives aimed at improving departmental efficiency.
  • Maintain an environment of positive employee relations by upholding confidentiality, establishing trust, and balancing business and employee needs.
  • Perform all other duties and responsibilities as assigned, adapting to shifting priorities and new responsibilities.

Requirements

  • Bachelor’s degree in human resources management, business management, or a related field (required). Master’s degree is strongly preferred.
  • At least three (3) years of direct human resources clerical experience, including two (2) years of administrative experience managing preemployment, onboarding, and audits.
  • Professional certification (e.g., SHRM-CP, SHRM-SCP, PHR, SPHR) is a plus.
  • Understanding of Human Resources processes, policies, and employment law, including FLSA classification and audit of employment records.
  • Direct work experience in nonprofit organizational operations and governmental contract knowledge is strongly preferred.
  • Knowledge of relevant employment laws, including EEOC, Department of Labor (state and federal), New York Human Rights Law, Equal Pay Act (EPA), and Americans with Disabilities Act (ADA) is a plus.
  • Deep understanding of HRIS system functionalities, including data analysis, system configurations, and process optimization.
  • Unquestionable personal integrity, fairness, and credibility, with a commitment to professional ethics, discretion, and confidentiality.
  • Highly detail-oriented with excellent evaluative and mathematical skills.
  • High level of computer proficiency in MS Office (Outlook, Word, Excel with advanced knowledge, PowerPoint, Adobe), internet navigation, and ability to learn new technologies and databases.
  • Exceptional analytical, problem-solving, and critical-thinking skills.
  • Strong interpersonal, communication, and presentation skills, with the ability to work independently or as part of a team.
  • Excellent time and project management skills, with the ability to prioritize and manage multiple tasks efficiently.
  • Ability to work in a dynamic, fast-paced environment, adapting to shifting priorities and collaborating across teams.
  • Initiative to work well under pressure, flexibility, and ability to handle complex projects.

  • May require working long hours and a varied schedule.
  • Flexibility with availability after hours for urgent calls due to the organization’s 24/7 operation.
  • Travel throughout various locations in the New York City area.
  • Lifting and moving objects weighing up to 30 pounds several times a week.
