Job Summary
Responsibilities
- Maintain the integrity and confidentiality of human resource files and records.
- Perform administrative duties, such as maintaining employee database and sorting emails for the HR department.
- Maintain proper records of employee attendance and leaves.
- Assist HR Director in policy formulation, hiring, and salary administration.
- Submit online job postings, shortlist candidates, and schedule interviews.
- Cookordinate and conduct onboarding, orientation, and training sessions for new employees.
- Ensure smooth communication with employees and timely resolution to their inquiries.
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Answers frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Aids in planning and execution of special events such as benefits enrollment, management meetings, employee recognition events, holiday parties, companywide events, and retirement celebrations.
- Social media postings.
- Performs other duties as assigned.
Requirements
- Strong verbal and written communication to interact with employees, managers, and external candidates.
- Ability to manage multiple tasks, maintain accurate records, and prioritize responsibilities effectively with a high attention to detail.
- Excellent interpersonal skills with the ability to manage sensitive employee information with discretion and maintain compliance with privacy regulations.
- Strong organizational and follow up skills.
- Exposure to labor law, employment equity regulations, and payroll practices.
- Full understanding of HR functions and best practices.
- Familiarity with HR software, databases, and office tools to support HR operations efficiently.
- Proficient with Microsoft Office Suite or related software.
- Graphic Design capabilities strongly preferred (i.e. Canva, Adobe Creative Suite, etc.).
- Associate degree in related field recommended.
- 2 years of experience as an HR assistant preferred.
- Prior military/navy experience and/or administrative or HR support experience is preferred.
- Familiarity with recruitment, payroll, and benefits processes is advantageous.
