Human Resource Specialist (Recruitment and Onboarding )
Department: Administration/Human Resources • Reports to: Director of Human Resources • Location: Primarily stationed at the Hattiesburg Visitors Center; travel required to all Hattiesburg Convention Commission facilities (Lake Terrace Convention Center, Saenger Theater, Sixth Street Museum District, Hattiesburg Zoo, Serengeti Springs) and for conferences/seminars.
About the role
The Human Resource Specialist will coordinate and execute the full recruitment and onboarding process, ensuring a smooth and compliant experience for all new hires. This role requires strong organizational skills, attention to detail, and a solid understanding of hiring practices and onboarding procedures. Excellent communication skills are essential to collaborate with hiring managers, support new employees, and maintain accurate personnel documentation.
Responsibilities
- Coordinates recruitment activities, including job postings, applicant communication, and interview scheduling.
- Coordinates with third-party vendors for temporary labor as needed.
- Facilitates drug screenings for new hires through a third-party vendor.
- Completes onboarding for all new hires, including ADP Workforce Now setup, classification coding, time clock setup, and personnel file creation.
- Schedules monthly New Hire Orientation for all new hires.
- Completes I-9 documentation and processes work authorizations using E-Verify online services.
- Submits online background checks annually for all employees, monthly for new hires and volunteers.
- Creates personnel files in compliance with applicable legal requirements.
- Answers employee questions related to hiring, onboarding, job postings, orientation, and general HR inquiries.
- Assists with various research projects and/or special projects.
- Maintains uniform inventories for all facilities and distributes uniforms during orientation.
- Provides occasional cross-department support, including select evening or weekend events.
- Performs other HR duties as assigned.
Requirements
- High school diploma or equivalent, with some college or technical school coursework and minimum of three years of job-related experience, preferably in a human resource department; or any equivalent combination of education and experience.
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- Valid Driver’s License and eligibility to drive while conducting company business.
- Must have transportation for required travel.
- Strong proficiency in Microsoft Office Suite.
- Effective communication and interpersonal skills.
- Experience with ADP Workforce Now preferred.
- Excellent organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Strong analytical and problem-solving abilities.
- Ability to work independently and collaboratively within a team.
- Relevant certifications (e.g., SHRM-CP certification) are a plus.
Schedule
Full-time: Minimum 40 hours per week, generally Monday–Friday. Hours may vary and include some nights, weekends, and holidays as needed.
