About the Role

The Human Resource Specialist serves as the employee onboarding, company benefits, and training coordinator. This role assists in administering various employee benefit plans such as life, health, dental, and disability insurances, and 403B plans. The HR Specialist also organizes, schedules, and tracks company training programs for supervisory, technical, and support staff, ensuring compliance with DDS and Title XIX guidelines.

Responsibilities

  • Coordinate all welcoming activities for new employees, including new hire orientations, lunches, and periodic check-ins.
  • Participate in planning and reviewing policies, procedures, and incentives related to the first three months of employment to improve retention.
  • Assist new employees with enrollment in benefit plans.
  • Plan, prepare, and facilitate the Open Enrollment process.
  • Process benefit enrollment changes for employees, such as qualifying events, terminations, and other plan changes.
  • Prepare and present benefits materials to employees and maintain employee benefit data and records.
  • Review and approve monthly insurance invoices for payment.
  • Perform monthly reconciliation of employee contributions and communicate discrepancies to Payroll and Finance.
  • Research, plan, organize, and schedule training programs, seminars, and conferences for new hires, staff, and management.
  • Assist in preparing and administering various training programs, coordinating with internal and external trainers.
  • Administer and evaluate training program qualification tests and determine eligibility of attendees.
  • Ensure compliance with HIPAA regulations.
  • Prepare and distribute training aids, including instructional materials, handouts, evaluation forms, and visual aids.
  • Set up technical equipment and make presentations as needed.
  • Schedule classrooms, prepare physical setups, and provide sign-in sheets for training sessions.
  • Develop and maintain a tracking system for training to ensure compliance with agency requirements.
  • Communicate training details to supervisors as necessary.
  • Maintain and update all training files.

Requirements

  • Associate’s Degree or equivalent experience in business, non-profit management, communications, or a related field.
  • Excellent verbal and written communication skills.
  • Exceptional interpersonal, time management, and organizational skills.
  • Knowledge and experience with Microsoft Office Products.
  • Self-motivated and able to work independently.
  • Experience in nonprofit and/or human service field preferred.
  • Valid driver’s license with a good driving history.
