Job Summary

We are seeking a highly organized and motivated HR Specialist to support the day-to-day operations of the Human Resources department. This role plays a key part in talent acquisition, benefits administration, employee onboarding and documentation, and employee engagement initiatives. The HR Specialist will serve as a primary point of contact for candidates and employees while ensuring HR processes are administered efficiently and professionally. The ideal candidate is detail-oriented, highly organized, and passionate about creating a positive employee experience throughout the employee lifecycle. Experience with social media and employer branding is preferred.

Duties And Responsibilities

  • Payroll Administration
    • Process payroll for employees on a weekly basis; collect, review, and verify employee timesheets, attendance records, and leave data.
    • Maintain accurate payroll records and employee information within the HRIS and payroll systems.
    • Process payroll-related transactions including new hires, terminations, promotions, salary changes, and deductions.
    • Reconcile payroll reports and resolve discrepancies prior to payroll processing.
    • Respond to employee inquiries regarding pay, deductions, benefits, and tax withholdings.
    • Prepare payroll reports for management, finance, and audit purposes.
    • Partner with Finance and Accounting to ensure accurate payroll accounting and reporting.
    • Support internal and external payroll audits by maintaining required documentation and records.
    • Monitor payroll processes and recommend improvements to enhance efficiency and accuracy.
  • Recruitment Support
    • Assist with sourcing, posting, and managing job openings through various recruitment platforms.
    • Review applications and resumes to identify qualified candidates.
    • Conduct initial candidate screenings and phone interviews.
    • Communicate with candidates throughout the hiring process.
    • Maintain applicant tracking records and recruitment metrics.
  • Interview Coordination
    • Schedule and coordinate interviews between candidates and hiring managers.
    • Prepare interview materials and candidate packets.
    • Ensure a professional and positive candidate experience.
    • Coordinate interview feedback and follow-up communications.
  • Benefits Administration
    • Assist employees with benefits enrollment and changes.
    • Support annual open enrollment activities.
    • Respond to employee inquiries regarding health, dental, vision, retirement, and voluntary benefits.
    • Maintain accurate benefits records and documentation.
    • Coordinate with benefit vendors and insurance carriers as needed.
  • HR Documentation and Employee Records
    • Maintain employee personnel files and HR records in accordance with company policies and legal requirements.
    • Process onboarding documentation for new hires.
    • Assist with employee status changes, transfers, promotions, and terminations.
    • Prepare employment verification requests and HR correspondence.
    • Support compliance reporting and record retention requirements.
  • Employee Onboarding and Offboarding
    • Coordinate new hire orientation and onboarding activities.
    • Ensure completion of all required employment documentation.
    • Facilitate offboarding activities, including exit documentation and system access coordination.
  • HR Compliance
    • Assist with maintaining compliance with federal, state, and local employment laws.
    • Support HR audits and reporting requirements.
    • Maintain confidentiality of employee and company information.
  • Social Media and Employer Branding
    • Assist with promoting DILE's employer brand through social media platforms.
    • Create and post job advertisements on LinkedIn, Indeed, and other recruitment platforms.
    • Support employee engagement initiatives and company culture campaigns.
    • Assist with recruitment marketing efforts and career fair promotions.
  • Safety Coordination and Compliance
    • Coordinate employee safety training programs and maintain training records.
    • Assist with planning and conducting safety meetings, drills, and emergency preparedness activities.
    • Maintain and track employee licenses, certifications, permits, and required compliance documentation.
    • Administer workers' compensation reporting, documentation, and claim coordination.
    • Support workplace incident investigations and maintain related records.
    • Assist with the development, communication, and rollout of company safety policies and procedures.
    • Maintain OSHA, DOT, and other safety-related records as required by applicable regulations.
    • Conduct periodic audits of safety documentation to ensure compliance and record accuracy.
    • Partner with operations leadership to promote a strong safety culture throughout the organization.
    • Prepare safety reports and compliance metrics for management review.

Skills And Abilities

  • Strong knowledge of recruitment and hiring processes.
  • Excellent organizational and time management skills.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Experience with HRIS, ATS, and payroll systems preferred.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Detail-oriented with strong problem-solving skills.
  • Ability to adapt to a fast-paced and changing environment.

Education And Experience

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of 2 years of Human Resources experience required.
  • Experience in recruiting, benefits administration, and employee onboarding preferred.
  • Experience in transportation, logistics, or warehouse operations preferred.
  • Working knowledge of employment laws and HR best practices.
  • Experience with social media recruiting and employer branding is a plus.

Minimum Qualifications

  • Must be at least 18 years of age.
  • Must be legally authorized to work in the United States.

Schedule

  • Day Shift – standard office hours with flexibility based on business needs.
  • Occasional weekends as needed.
