About the Role

This position assists the Director of Staff Development (DSD), Director of Nursing (DON), and Administrator in administering policies and implementing facility orientation while supporting organizational goals and values.

Responsibilities

  • Support organizational goals and values; follow schedules and instructions from supervisors.
  • Assist in organizing and conducting new employee orientation, covering facility philosophy, resident rights, safety, infection control, and policies.
  • Maintain knowledge of legal requirements and government reporting regulations affecting HR functions.
  • Assist with recruitment and on-boarding, including candidate screening, interviews, and scheduling.
  • Perform data entry and prepare reports on various HR topics as needed.
  • Update and maintain employment records related to hiring, transferring, promoting, and terminating.
  • Administer benefits programs (e.g., health, dental, disability insurance, pension plans, leave policies).
  • Collaborate with the Risk Manager on complex HR and workers' compensation cases.
  • Schedule and track in-services, ensuring timely posting and record-keeping of attendance.
  • Coordinate the safety program and schedule pre-employment and employee health examinations.
  • Document and coordinate required fire and internal disaster drills.
  • Maintain professional communication with staff, residents, and the public.
  • Advertise open positions and provide information to candidates and employees.
  • Record and file incidents/accidents in accordance with policies.
  • Manage payroll workflow, including processing transactions, garnishments, and manual checks.
  • Update payroll records for exemptions, insurance, deductions, and job title changes.
  • Issue paychecks or direct electronic transfers.
  • Compile payroll summaries for earnings, taxes, deductions, and leave.
  • Process termination payroll checks within required timeframes.
  • Calculate payroll liabilities (e.g., federal/state taxes, social security, unemployment, workers' compensation).
  • Monitor sick and vacation accruals; process employment verifications.
  • Prepare payroll allocation reports for the finance team.
  • Reconcile payroll before transmission and validate reports.
  • Answer payroll-related questions while maintaining confidentiality.
  • Partner with HR Business Partners on complex HR cases and ensure policy alignment.
  • Conduct audits and corrections to ensure compliance.
  • Perform other duties as assigned by supervisors.

Qualifications

  • High School Diploma or equivalent required; two years of college education preferred.
  • 2+ years of administrative experience, preferably in HR.
  • Strong interpersonal and customer service skills.

Skills

  • Ability to read, analyze, and interpret business documents, professional journals, and regulations.
  • Proficiency in writing reports, correspondence, and procedure manuals.
  • Effective communication for presenting information and responding to questions.
  • Mathematical skills for applying fractions, percentages, ratios, and proportions.
  • Problem-solving ability for practical, non-standardized situations.
  • Interpretation of instructions in written, oral, diagram, or schedule form.
  • Clerical knowledge and computer literacy (e.g., office machines, software).

Physical Demands

  • Occasional lifting/moving up to 25 pounds.
  • Prolonged use of desktop/laptop computers.
  • Regular sitting, standing, walking, talking, reading, and hearing.
  • Frequent use of office equipment (copier, scanner, fax, telephone, calculator).
  • May assist in resident evacuations during emergencies.
  • Travel by auto or airline may be required.
