About the role
This position provides administrative, clerical, and technical support to the HR Support function, partnering with Operations, Human Resources, and Payroll to coordinate projects and activities. The role maintains critical HR Support and employee dispatch records, acting as a key connection between production employees, supervisors, and Human Resources. This is a limited-duration role with an estimated completion date of December 2027.
Responsibilities
- Maintain the UKG Human Resources/Payroll system to document employee status and work assignments; compile and format data from UKG and other sources to prepare reports; recommend process modifications as needed.
- Process staffing requests, including preparing paperwork, dispatch requests to unions, initiating calls to unions and recalled employees, and documenting efforts to secure staffing through unions or the Applicant Tracking system.
- Collaborate with craft and production hiring managers from offer to onboarding, including processing background checks, coordinating drug and alcohol screenings, sending onboarding checklists, coordinating orientations, and dispositioning candidates in the Applicant Tracking System (Jobvite).
- Assist employees with timecard and timekeeping instructions; distribute weekly paychecks; process weekly time entry; answer questions about job assignments; monitor attendance call-ins and maintain records; report attendance issues to the Operations Team.
- Facilitate new employee processing, including administering first-day activities such as new employee packets, document reviews, and routing to first aid and safety orientation.
- Coordinate with the Labor Relations team to apply collective bargaining agreements for union employees regarding timekeeping, attendance, time off, job movements in UKG, and other union processes.
- Perform related administrative functions such as answering phones and emails, processing unemployment claims, filing, copying, delivering documents, ordering supplies, and assisting other support staff.
Requirements
- High School Diploma or GED Certificate is required.
- Minimum of two years of experience in a Customer Service or Human Resources role with demonstrated knowledge of office procedures and practices.
- Knowledge of UKG, Human Resource, and Payroll modules is preferred.
- US citizenship is required due to government contract obligations.
Skills
- Proficiency in PC applications such as word processing, spreadsheets, and databases; data analysis and report writing.
- Knowledge of human resources principles and employee record-keeping.
- Understanding of shipyard staffing needs and applicable terminology.
- Ability to troubleshoot and research paycheck and timecard errors.
- Strong written and verbal communication skills.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to work independently with minimal supervision and exercise sound judgment.
- Ability to meet deadlines and work under pressure while handling multiple tasks and interruptions.

Pay
$47,000 - $52,000 per year / $22.59 - $25.00 per hour.
Schedule
This position will split time between the Portland and Vancouver facilities. Applicants must be open to working on-site in both locations.

Work Environment
The role is primarily office-based in a dynamic, fast-paced setting with moderate to loud noise levels from shipyard production activity. Occasional walking within the shipyard may be required.
