About the Role
The ideal HR Recruiting Assistant will be a tactful, skilled administrative assistant with a friendly and helpful personality. Strong communication, data entry accuracy, and the ability to manage multiple tasks efficiently are essential.
Responsibilities
- Pre-screen applications and conduct phone interviews.
- Schedule in-person/video interviews for managers.
- Maintain communication with department managers to understand their hiring needs.
- Perform extensive data entry to track applicants and update internal tracking systems.
- Monitor applicant progression throughout the pre-hire process.
- Schedule orientations for applicants who have completed the pre-hire process.
- Cover the front desk as needed: route calls, sign in visitors, issue badges, and maintain logs.
- Assist with mail and package distribution.
- Maintain a neat front office and greet visitors professionally.
- Prepare interview packets and set up interview rooms.
- Demonstrate excellent verbal and written communication skills.
- Maintain confidentiality and knowledge of HR-related laws and regulations.
- Exhibit strong attention to detail, organizational skills, and follow-through.
- Multitask and adapt to changing processes and demands.
- Ensure prompt and regular attendance.
- Perform other duties as assigned.
Requirements
- Experience with Microsoft Word, Excel, Outlook, and Google Sheets is required.
- Preferred experience with ATS platforms such as ClearCompany and ADP.
Physical Requirements
- Regular use of hands to finger, handle, or feel; talk or hear; and sit.
- Occasional walking, climbing stairs, pushing, pulling, and lifting/moving up to 25 pounds.
- Specific vision abilities: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Work Environment
Typical office environment with low noise levels.
Schedule
- Monday–Friday, 8:00 AM–5:00 PM.
- 40 hours per week; overtime may be required.
Pay
$21–$23 per hour, depending on experience.
