About the role

Reporting to the HR Manager, the People Operations Specialist is the operational backbone of VueStay’s People function. You’ll be the primary liaison with our benefits, payroll, workers’ compensation, and leave administration vendors, own new-hire onboarding end to end, and conduct weekly payroll reviews to keep our fully remote, multi-state team paid accurately and on time. This is a hands-on role for an experienced, detail-oriented HR professional who takes ownership of the day-to-day execution that keeps people operations running smoothly — freeing HR leadership to focus on strategy and program development. Discretion with confidential information and a service-minded approach to employees are essential.

Responsibilities

  • Serve as the primary day-to-day liaison with third-party vendors, brokers, and carriers for medical and other health benefits, payroll, workers’ compensation, and leave administration; track service levels, resolve issues, and coordinate renewals.
  • Conduct weekly payroll reviews — auditing hours, piece-rate earnings, new hires, status changes, and deductions for accuracy before processing — and partner with the payroll vendor and finance to ensure employees are paid correctly and on time.
  • Administer benefits programs end to end, including new-hire enrollments, qualifying-life-event changes, terminations, open enrollment, and COBRA, in partnership with the broker and carriers.
  • Manage new-hire onboarding from offer through first week: offer paperwork, background checks, I-9/E-Verify, system and equipment setup, and orientation, ensuring a welcoming, compliant start for every employee.
  • Administer leave of absence and workers’ compensation cases: intake, documentation, vendor coordination, return-to-work tracking, and compliance with FMLA, ADA, and applicable state leave laws.
  • Maintain accurate, confidential employee data and records in the HRIS; keep documentation clean, complete, and audit-ready.
  • Serve as a knowledgeable, friendly point of contact for employee questions on benefits, pay, leave, and onboarding.
  • Support multi-state HR compliance and reporting, including ACA, EEO, workers’ comp, and wage-and-hour requirements.
  • Help document and continuously improve people-operations SOPs and workflows as the company grows.

Requirements

  • 2+ years of hands-on HR or people-operations experience with direct responsibility for benefits administration, payroll, and/or leave administration; multi-state experience strongly preferred.
  • Experience working directly with benefits brokers, payroll providers, and workers’ comp/leave vendors as the day-to-day point of contact.
  • Solid understanding of payroll processes and confidence reviewing and auditing payroll, including hourly and piece-rate pay.
  • Working knowledge of benefits, COBRA, FMLA/ADA, state leave laws, and workers’ compensation compliance.
  • Hands-on experience with an HRIS/payroll platform (e.g., Gusto, Rippling, ADP, Paylocity, or similar).
  • Exceptional attention to detail and accuracy, with sound judgment and discretion handling confidential information.
  • Strong organizational skills and the ability to manage multiple vendor relationships and deadlines independently in a remote environment.
  • Clear, warm, and professional communicator who represents VueStay positively in every employee and vendor interaction.
  • PHR, SHRM-CP, or a benefits/payroll certification is a plus.

Workplace Environment

  • This is a fully remote role open to candidates based in the United States; you’ll need a reliable internet connection and a private, distraction-minimized workspace.
  • Standard business hours with flexibility to meet weekly payroll, benefits, and leave deadlines that may occasionally fall outside normal hours.
  • Primarily sedentary computer-based work, including extended periods at a keyboard and screen and frequent virtual meetings.
  • Occasional travel may be required for company or team events.

Pay

$55,000 - $60,000 per year
