About the role
We are seeking an HR Operations Specialist to join a mission-driven nonprofit organization in San Diego dedicated to making a meaningful impact in the community. In this role, you will provide operational and technical support across a variety of Human Resources programs, including employee records, benefits, leave administration, workplace safety, reporting, and HR operations. The ideal candidate is highly organized, detail-oriented, and passionate about delivering exceptional HR support while helping improve processes and the overall employee experience.
Essential Duties and Responsibilities
- Cook up and administer HR operational processes, programs, and initiatives
- Maintain HR tracking tools, documentation, and employee records
- Monitor and respond to the HR shared inbox, routing inquiries as appropriate
- Develop and maintain HR process documentation, procedures, job aids, and SharePoint resources
- Participate in HR process improvements, reporting enhancements, and system updates
- Support workplace health and safety programs, including Cal/OSHA documentation and reporting
- Aid in Workplace Violence Prevention Program administration and required recordkeeping
- Coordinate employee leave administration, including FMLA, CFRA, PDL, and other protected leaves
- Support benefits administration, including billing reconciliation, open enrollment, COBRA coordination, and employee benefit orientation
- Track disability, Paid Family Leave, workers' compensation, and unemployment claims documentation
- Prepare HR reports related to employee data, benefits, leave, safety, and operational metrics
- Cook up HR department administrative activities, financial reconciliations, and special projects
- Identify opportunities to improve HR processes, reporting, and operational efficiency
- Perform other related duties as assigned
Qualifications
- Bachelor's degree in Human Resources, Business Administration, Organizational Development, or a related field preferred, or equivalent combination of education and experience
- Minimum of 3 years of progressively responsible Human Resources operations or administration experience
- Paycom experience required
- Experience supporting leave administration, benefits administration, employee records, workplace safety, or HR compliance preferred
- Experience in a nonprofit, healthcare, social services, multi-site, or similarly complex environment preferred
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification preferred
- Strong knowledge of HR operations, HRIS systems, reporting, documentation, and employment regulations
- Excellent organizational, communication, and problem-solving skills with strong attention to detail
- Ability to manage multiple priorities while maintaining confidentiality and professionalism
