HR Operations Specialist
About the Role
The HR Operations Specialist plays a critical role in delivering exceptional employee experience while ensuring the efficient execution of core HR processes for the organization. This position serves as the primary owner of contingent workforce administration, managing vendor relationships, workforce data, and staffing transactions across multiple systems. The role partners closely with HR Business Partners and other HR subject matter experts to support a broad range of HR initiatives and employee-related matters. Through exposure to employee relations, compliance, leave administration, recruiting support, and workforce operations, this position offers a unique opportunity to build foundational HR expertise and gain experience across multiple HR disciplines. It is designed for individuals seeking to grow their HR careers and provides meaningful exposure to key HR functions, creating a strong pathway toward future Human Resources Generalist, HR Business Partner, or other HR specialty roles.
Responsibilities
- Employee Onboarding (25%): Manage all onboarding activities for new employees, including pre-hire compliance, paperwork (e.g., I-9 and internal forms), and day-one experience items. Schedule day-one activities with business partners, ensure precise data entries in Workday, and complete all day-one tasks to mitigate organizational risk. Maintain HRIS and employee master data.
- HR Generalist Support (25%): Partner with the HRBP team on employee relations, investigations, performance management, local and global compliance, and payroll items. Assist recruitment teams during high-volume periods.
- WFM Timekeeping Administration (15%): Collaborate with system owners, employees, and managers to ensure prompt and accurate payment for non-exempt workforce, complying with FLSA regulations. Train managers on timekeeping responsibilities.
- Contingent Staffing (15%): Manage data transactions among Beeline, ACM, and Workday for timely onboarding, transfer, and offboarding of contingent staff. Lead projects to align vendors and systems with brand partners. Train managers on contract staff management systems.
- Leave Absence Administration (10%): Serve as the central administrator for DTFS leaves of absence, acting as the key point of contact for employees before, during, and after leaves. Coordinate with Daimler Truck Leave Specialist and leave vendors.
- HR Procurement & Invoice Management (10%): Act as the central contact for HR procurement, ensuring vendors are set up in systems and invoices are processed correctly and timely for payment.
Requirements
- Typically requires a Bachelor’s degree or 4 years of relevant experience in lieu of a degree.
- 0–2 years of relevant experience.
- Attention to detail and accuracy in data transactions is paramount.
- Maintaining absolute confidentiality regarding sensitive information is essential.
