We are looking for a highly organized HR specialist to support a fast-moving onboarding function for an organization based in Indianapolis, Indiana. This in-office role is responsible for creating a smooth and compliant start-to-employment experience for new team members joining locations across the country.
Responsibilities
- Manage the onboarding process from offer acceptance through start date for employees joining multiple sites across the organization.
- Coordinate pre-employment requirements such as background screenings, drug tests, and employment eligibility documentation while maintaining compliance standards.
- Enter and maintain new employee information in HR and payroll systems with a high level of accuracy and timely completion.
- Lead virtual onboarding interactions that help new employees feel informed, supported, and prepared for their first days on the job.
- Monitor onboarding timelines across numerous locations and follow up proactly to keep each employee on schedule during periods of heavy recruitment activity.
- Administer scheduled new employee surveys and review feedback at key milestones to help measure employee experience and early retention trends.
- Partner with internal HR contacts and branch teams to resolve onboarding issues, answer questions, and ensure consistent process execution.
- Support HR administrative activities related to employee records, benefits coordination, and onboarding documentation management.
Requirements
- At least 2 years of experience in high-volume onboarding, recruiting coordination, or a similar human resources support role.
- Demonstrated ability to handle detailed administrative work independently while meeting firm deadlines in a busy environment.
- Proficiency with HRIS platforms, payroll systems, and virtual meeting tools such as Zoom or Microsoft Teams.
- Strong written and verbal communication skills with a clear, detail-focused, and approachable style.
- Ability to manage multiple priorities across different locations and adjust quickly as hiring needs change.
- Experience working with confidential employee information and following established compliance procedures.
- Background in HR administration, onboarding, employee relations, or benefits support is preferred.
