Primary Responsibilities
- 40% | Core Promotions Administration & Transactional Accuracy
- Learn, master, and accurately administer multi-step internal store promotion processes without supervision.
- Create requisitions, post openings, oversee the Workday application pipeline, and execute all required hiring steps for management positions with zero data entry errors.
- Process promotion program stipends timely and accurately, ensuring employees receive their compensation without delay.
- Serve as the dedicated operational liaison for relocation and logistics vendors (e.g., U-Haul), rigorously auditing and processing program invoices to ensure accurate and timely payment.
- 30% | High-Volume Coordination & Communication Support
- Proactively coordinate position opening schedules with operations leadership, managing tight timelines and multiple moving parts.
- Distribute promotion program announcements and internal communications, ensuring all materials meet the highest standard of clarity and professionalism.
- Act as the highly responsive, go-to resource for applicants and hiring managers, answering complex questions regarding the promotion process and relocation benefits.
- Equip hiring managers with standard interview materials and guide them through their operational responsibilities in the selection process.
- 20% | Data Integrity, Reporting & Audit Management
- Maintain and own internal promotion status reports, ensuring all tracking sheets and databases are updated timely, consistently, and with flawless accuracy.
- Pull, organize, and audit data from the HRIS (Workday) upon request, ensuring files are clean and ready for leadership review.
- Routinely audit promotion workflows to catch and resolve data discrepancies or bottlenecks before they impact the business.
- 10% | General HR Administrative Support
- Quickly adapt to and perform general administrative responsibilities for other areas within the HR department as assigned.
- Minimum Education: Bachelor’s Degree or equivalent skills and professional experience.
- Experience: 2+ years of experience managing high-volume administrative tasks, data entry, or program coordination (experience within HR or recruiting pipelines is a strong plus).
- Technical Skills/Knowledge: Strong working knowledge of common office software, specifically Google Sheets/Docs/Slides or MS Excel/Word. Prior experience executing transactional workflows within an HRIS (Workday preferred).
