Position Description Promises Behavioral Health is actively recruiting for a Temporary HR Coordinator for a minimum of 90 days. This position is part of a collaborative Human Resources Shared Services team, works 40 hours per week, is fully remote, and reports directly to the Director of Corporate Human Resources. The HR Coordinator is primarily responsible for ensuring the accuracy, completeness, and compliance of employee records and HR documentation across the organization. This role serves as the central point of coordination for personnel file maintenance, file audits, I-9 administration, benefits documentation, leave administration, and HR recordkeeping compliance. The ideal candidate is highly organized, detail-oriented, and capable of managing sensitive information while ensuring HR processes meet federal, state, accreditation, and company requirements. Essential Functions And Responsibilities Personnel File Compliance and Records Management Serve as the primary administrator for employee personnel files, ensuring records are complete, current, and maintained in accordance with company policies and regulatory requirementsConduct ongoing audits of employee personnel files to identify missing, outdated, or non-compliant documentation and coordinate corrective actionMaintain electronic employee records within SharePoint, ADP Workforce Now, and other HR systems to ensure accuracy and accessibilityMonitor compliance with document retention schedules and recordkeeping requirementsPrepare and organize documentation in support of internal audits, accreditation reviews, and compliance requestsUpload, maintain, and audit employee documents and records within HR filing systems I-9 Administration and Compliance Administer Form I-9 completion and verification processes for new hires and rehiresConduct routine I-9 audits to ensure compliance with federal employment eligibility requirementsMonitor employment authorization expiration dates and coordinate timely reverification activitiesCorrect deficiencies and maintain I-9 records in accordance with retention and compliance standardsServe as a resource to employees and managers regarding I-9 documentation requirements Benefits Administration Manage the Benefits Inbox, ensuring timely and professional responses to employee inquiriesMaintain employee benefits records and supporting documentationAudit benefit records and employee data to ensure accuracy and compliance Leave Administration Track leave requests, certifications, approvals, return-to-work documentation, and benefit continuation requirementsManage leave-related communications with employees, managers, and third-party administratorsCoordinate benefit reimbursement payment plans and maintain accurate leave records HR Shared Services Support Maintain a current understanding of ADP Workforce Now functionality and support employee transactions within the HRISAssist with HRIS data integrity audits and corrective maintenance activitiesSupport onboarding activities, including employment documentation and new hire compliance requirementsProvide administrative support related to Healthicity training records and compliance trackingServe as backup support for onboarding and other HR operational processesPerform additional duties as assigned Required Skills And Qualifications HR Compliance and Administration Strong understanding of personnel recordkeeping, employment documentation, and HR compliance practicesKnowledge of I-9 administration, record retention requirements, and HR auditing principles preferredWorking knowledge of employee benefits administration and leave management processes, including FMLA and ADA considerations Technology Proficiency Experience using HRIS platforms, preferably ADP Workforce NowProficiency in Microsoft Office Suite, SharePoint, and electronic document management systems Communication and Customer Service Excellent written and verbal communication skillsAbility to provide responsive, professional service while handling confidential and sensitive informationStrong interpersonal skills with the ability to build relationships across all levels of the organization Organizational Effectiveness Exceptional attention to detail and accuracyStrong organizational and time management skillsAbility to manage multiple priorities and meet deadlines in a fast-paced environmentStrong analytical and problem-solving capabilities Requirements High School Diploma or equivalent requiredBachelor's degree in Human Resources, Business Administration, or a related field preferredMinimum of two (2) years of Human Resources experience, preferably in employee records management, compliance, benefits administration, or leave administrationExperience conducting personnel file audits and maintaining employee records strongly preferredExperience with ADP Workforce Now preferredExperience working within a state-regulated and/or accredited healthcare environment (TJC preferred) is highly desirable Benefits Temp Position
