Location: Knoxville & Greeneville Operations – This position provides Human Resources support to both locations and requires some travel between them as needed.
About the role
The Human Resources Coordinator assists with day-to-day operations of the Human Resources Department, company policies, procedures, and documentation. Responsibilities span Worker’s Compensation, FMLA, Benefits, HRIS, Recruiting, and employee-file maintenance.
Responsibilities
- Oversee the new-hire and onboarding process, including recruiting schedules, pre-employment steps, new-hire compliance (I-9 and eVerify), and hiring documentation.
- Organize, schedule, and track employee interviews with managers; maintain the New Hire Pipeline on the server.
- Prepare and maintain all employee files, records, and documentation.
- Maintain Human Resource Information System records and compile reports from the database.
- Assist in implementing HR policies and procedures; keep policy manuals current.
- Manage onboarding and off-boarding for all employees, including system access levels.
- Report HR metrics and accomplishments monthly.
- Perform data entry and HRIS maintenance to ensure timely, accurate payroll processing; maintain effective filing systems.
- Release information according to department and company policies; audit files periodically to purge outdated items and ensure confidentiality.
- Assist the HR Manager with termination notifications (via FedEx, certified mail, etc.).
- Coordinate follow-up with injured employees and those on leave.
- Serve as the first point of contact for the Human Resources Department.
- Provide Verification of Employment documentation upon request.
- Assume other duties as assigned by the Executive Director and/or Human Resources Director.
Requirements
- Minimum of 2+ years of experience as a Human Resources Specialist or Coordinator, or equivalent combination of education and work experience.
- High school diploma and two years of HR experience preferred, or equivalent education and work experience.
- Strong interpersonal, writing, and organizational skills.
- Ability to handle confidential information with sensitivity.
- Ability to work with limited supervision and high motivation.
- Service-oriented mindset.
- Ability to work under pressure, meeting multiple and sometimes conflicting deadlines.
- Excellent presentation, verbal, written, and interpersonal communication skills.
- Effectively communicate and interact with employees, internal and external clients.
- Knowledge of state and federal employment laws (preferred).
- Commitment to providing excellent customer service; ability to remain calm and courteous when handling difficult calls and requests.
- Ability to maintain confidentiality regarding all documents and communications.
- Ability to project a positive and professional image on behalf of the organization.
- Proficient in Word, PowerPoint, and Excel; ADP experience is a plus.
Physical Requirements
- Repetitive hand movement; tasks may include lifting and organizing employee file folders, turning, bending, squatting, etc.
- Ability to sit or stand for long periods of time.
- Ability to work independently, set priorities, handle multiple tasks with concentration, speed, and accuracy to meet deadlines.
