Essential Duties and Responsibilities
- Support efforts of both Operations & Corporate recruiters.
- Aid in setting up interviews, collecting recap forms from managers, and assisting candidates during the interview process.
- Process pre-hire documentation, such as background and drug tests, and aptitude tests.
- Manage pre-employment vendors like Assurant, Predictive Index, HireSelect, Saratoga, etc.
- Provide general recruiting support, including job fairs, job postings, college summer hiring, and campus events.
On-Boarding
- Prepare welcome emails and offer letters.
- Track and pre-fill on-boarding documents and set up orientation folders.
- Assist with orientation meetings, working with Generalists to ensure smooth and professional orientation days.
- Coordinate orientation breakfasts and lunches, staying within budget, tracking receipts and bills with Acct Receivable.
- Collect all new hire paperwork, checklists, and review for completion.
- Process new hires through e-verify program.
- Prepare employee ID badges and pictures for the company picture board.
HR & Benefits Administration
- Utilize ADP expertise for data entry of new hires’ information into ADP WFN and e-time HRM system.
- Create new personnel file folders for all new hires using checklists and audit sheets to ensure proper setup and capture of all required documents.
- Ensure data integrity by processing employee updates in IMIS and ADP.
- Support Open enrollment prep, roll-out, meetings, training, and enrollment changes.
Payroll Administration
- Audit and prepare payroll changes report, and submit audit sheets due biweekly on Fridays.
- Record changes to employee and contractor data in ADP and IMIS, including change of address and direct deposit changes.
- Handle payroll changes within deadlines.
General
- Upkeep of employee files to ensure compliance and accuracy and completeness of documents.
- Run monthly birthday & anniversary reports and coordinate information with Receptionist and marketing.
- Afford assistance in planning and Powerpoint presentations for monthly Staff Meetings.
- Prepare periodic reports as requested by Director, HR, or Senior Management.

Qualifications
- Minimum requirement in Microsoft Outlook, Word, Excel, and PowerPoint of intermediate to advanced level.
- Minimum keyboarding skill of 45-50 wpm.
- Previous ADP payroll experience highly preferred, system experience required.
- Effective communication skills, both verbally and written, multi-tasking, and prioritizing as needed.
- Accuracy and detail-oriented.
- Strong knowledge and understanding of general HR and best practices through education or job experience.
- Knowledge of insurance regulations, plan designs, and third-party record keeping/administration required.
- Working knowledge of COBRA, ERISA, FMLA, and related state and federal regulations required.
Education and Experience
- Bachelor’s degree required, or equivalent experience can be substituted.
- One (1) to three (3) years of HR experience, or equivalent data entry and customer service experience.
- Professional in Human Resources (PHR) Certification or SHRM-CP Certification strongly preferred.
Languages
- Ability to read, analyze, and interpret Company policies and procedures.
- Ability to write reports, business correspondence, and assist in writing procedures manuals.
- Ability to effectively present information and respond to questions from employees.
Mathematical Skills
- Ability to add, subtract, multiply, and divide.
- Calculate hourly rates of pay based on annual compensation.
Reasoning Ability
- Solve practical problems and deal with a variety of concrete variables in situations where limited standardization exists.
- Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
