HR Coordinator
About the role
The HR Coordinator provides administrative and operational support across the employee lifecycle, helping deliver an exceptional employee experience from pre-boarding through onboarding and beyond. This role coordinates HR processes, maintains accurate employee records, supports compliance initiatives, and serves as a trusted resource for employees and managers on routine HR matters.
Responsibilities
- Coordinate all pre-boarding and onboarding activities for new hires, ensuring a seamless transition into the organization.
- Prepare and distribute new hire paperwork, onboarding materials, and welcome communications.
- Facilitate I-9 completion, employment eligibility verification, E-Verify (if applicable), and background check administration.
- Coordinate new hire orientations and ensure all onboarding documentation is completed accurately and on time.
- Maintain employee records and HR documentation while ensuring data accuracy and confidentiality.
- Administer and maintain contractor records, including onboarding, tracking, and lifecycle management.
- Manage labor codes and organizational job classifications to support accurate workforce reporting, payroll, and HR processes.
- Partner with managers and employees to answer routine questions regarding HR policies, procedures, benefits, and People programs.
- Reconcile HR-related invoices and assist with vendor administration.
- Administer the employee referral bonus program, including tracking eligibility and coordinating payouts.
- Assist with special HR projects and continuous process improvement initiatives.
Requirements
- Bachelor's degree in Human Resources or a related field, or equivalent combination of education and experience.
- 1-3 years of experience in Human Resources, recruiting, administration, or a related field.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Exceptional attention to detail and commitment to accuracy.
- Strong customer service mindset and interpersonal skills.
- Ability to exercise sound judgment and maintain strict confidentiality.
- Proficiency with Microsoft Office 365, particularly Excel, Outlook, Word, and Teams.
- Ability to quickly learn new software systems and technology.
Nice to haves
- Experience using an HRIS (e.g., BambooHR, UKG, Workday, ADP, etc.).
- Experience supporting onboarding or recruiting processes.
- Familiarity with I-9 compliance and employment eligibility verification.
- Experience with SharePoint or other intranet/content management systems.
Working conditions and physical requirements
Work will normally be performed in an office. Able to efficiently use automated office equipment such as laptops, copiers, and printers; able to effectively engage in communications (via phone, computer, or in-person).
