About the role
The Human Resources Associate supports the Human Resources (HR) department by managing day-to-day administrative and clerical duties. This role involves professionally handling incoming visitors and calls, providing bilingual communication/translation support, and assisting with various HR processes such as applicant tracking, interview scheduling, and employment data management.
Responsibilities
- Record and maintain employee information, including personal data, compensation details, tax information, attendance records, performance reviews, vacation tracking, and termination reasons.
- Provide bilingual support to the HR department in communication and translation with employees.
- Prepare and manage employee-related documents, including new hire paperwork, pre-employment physical examinations, drug screenings, and separation notices.
- Complete and maintain the daily absentee report and update employee excuses in the HR database.
- Assist employees in using HR Information Systems (HRIS) and applications effectively.
- Input initial employee data into the Human Resources system and maintain accurate employee records.
- Update employee files to document personnel actions and provide payroll and other department-relevant information.
- Respond to employee file inquiries, including employment verification requests, and provide information to authorized personnel.
- Compile data from personnel records and generate reports as requested.
- Assist in the administration of employee benefits by maintaining accurate records.
- Answer incoming telephone calls and assist visitors in a professional manner.
- Perform general clerical duties as required to support the HR department.
- Undertake additional tasks and responsibilities as assigned by management.
Requirements
- A minimum of one (1) year of experience in clerical or administrative support functions.
- Bilingual proficiency required (English/Spanish preferred).
- Basic knowledge of office software applications (e.g., Microsoft Word, Excel, Access).

- Ability to handle confidential information with discretion.
- Strong organizational skills with a proactive, self-motivated approach to work.
- Excellent communication and interpersonal skills.
- Prior experience in Human Resources is a plus.
