Job Summary

The School of Kinesiology is seeking an HR Assistant to play a pivotal role in providing a welcoming environment, recruiting and onboarding processes, records and compliance management, and other complex administrative functions. Reporting to the Senior Director of Human Resources, the HR Assistant will ensure prompt, efficient, and professional responses to employee inquiries and collaborate with multiple customer groups.

Responsibilities

  • Temporary Staff Management: Process temporary staff postings, hires, onboarding, and offboarding; track I-9 completion and expirations, student-to-non-student conversions, and appointment purges; ensure compliance with U-M temporary staff policies and manage extension requests; respond to temporary staff questions and coordinate with shared services HR staff.
  • Dean's Suite Reception and Operations: Serve as the first point of contact at the Dean's Suite reception desk; welcome and assist visitors, students, faculty, and staff; manage mail, conference room reservations, supplies, kitchen areas, shared spaces, and first aid materials; maintain reception and suite spaces, report facility issues, and coordinate office plant maintenance; support suite culture through tasks such as managing staff birthdays.
  • Human Resources Administrative Support: Draft HR letters and communications using templates; support HR transactions in partnership with shared services HR Coordinators; send approved HR communications and assist with meetings, catering, logistics, and materials; update employee work addresses and phone numbers in HR systems; provide additional administrative support during peak periods.
  • Faculty and Staff Search/Hiring Support: Coordinate interviews and scheduling for staff searches; support faculty job postings and external advertising processes; arrange faculty candidate travel, lodging, transportation, meals, and campus logistics; prepare candidate materials, folders, welcome items, hospitality supplies, and office spaces; track and submit recruitment-related expenses.
  • Data Management and Timekeeping: Maintain HR content on the school intranet; manage HR and personnel files, document retention, and mandatory training tracking; coordinate scanning of documents into university personnel files; review timesheets, ensure correct time reporting codes, and follow up on missing time or approvals; troubleshoot payroll issues and communicate timekeeping reminders.
  • Other HR Projects: Review and edit HR reports, documents, templates, and processes; create and manage surveys using tools such as Qualtrics and Google Forms; provide additional HR project support as assigned and approved by the supervisor.

Required Qualifications

  • 2+ years of related administrative support experience
  • High school diploma
  • High level of proficiency with technology and software (Word, Excel, PowerPoint, Access, Google Workspace, Adobe Acrobat, Zoom)
