About the role
The HR Analyst serves as an operational cornerstone of Moxa Americas' Human Resources function, ensuring the seamless administration of payroll, 401k, leave, workforce data, compliance, and expense processes.
Responsibilities
- Administer end-to-end payroll processing using ADP Workforce Now, ensuring accuracy and on-time delivery for all pay cycles.
- Review and audit timekeeping data, manual adjustments, off-cycle payments, and final paychecks for compliance and accuracy.
- Interface with Sales and Sales Operations on commission calculations and payment.
- Partner with Finance to reconcile payroll data, process garnishments, and maintain proper GL coding.
- Coordinate with ADP and internal stakeholders on system updates, tax configuration changes, and year-end payroll processing.
- Maintain payroll records in accordance with applicable federal and state recordkeeping requirements.
- Partner with HR Benefits to administer the company's 401(k) plan through Fidelity, including enrollment, contribution changes, loan requests, and distributions.
- Validate payroll-to-Fidelity contribution files on each pay cycle; audit and reconcile deferrals, employer match, and true-up contributions.
- Support annual plan audits, nondiscrimination testing, and compliance filings in coordination with the plan administrator and Finance.
- Support data clean-up projects and system configuration updates as directed by HR leadership.
- Support HR policy updates and employee communications as compliance requirements evolve.
- Process and track HR-related expenses including benefits invoices, vendor payments, and departmental purchasing in coordination with Finance.
- Reconcile monthly benefits carrier invoices against enrollment data; identify and resolve billing discrepancies with vendors.
- Support cross-functional data exchange between payroll, benefits, and Finance teams.
- Conduct periodic audits of HR files, I-9 documentation, and system records to identify gaps and implement corrective action.
- Administer all employee leave programs including FMLA, California CFRA, PDL, ADA accommodations, short- and long-term disability, parental leave, and other state-mandated leaves.
- Intake and process leave requests, coordinate with employees and managers on timing, documentation, and return-to-work planning.
- Maintain accurate and timely leave records; track intermittent usage and ensure consistent policy application across the employee population.
- Monitor federal and state leave law changes; update internal procedures and notify employees of applicable rights and obligations.
- Liaise with disability carriers and EAP resources as needed to facilitate seamless leave-to-return transitions.
- Support compliance with federal, state, and local employment regulations including FLSA, ACA, ERISA, HIPAA, EEO, and California-specific labor laws.
- Maintain required workplace postings, recordkeeping obligations, and personnel file documentation in accordance with applicable law.
- Absorb minimal domestic travel may be required.
Requirements
- Education: Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field; or equivalent combined education and experience.
- Professional Certificates/Licenses: PHR, SHRM-CP, or CPP (Certified Payroll Professional) preferred.
- Experience: 8-10 years of progressive HR operations or payroll experience, with direct hands-on experience in at least three of the following: ADP Workforce Now payroll processing; 401(k) plan administration; leave of absence management; HRIS data management; or HR compliance.
- Communication: Proficiency in written and verbal business communication.
Qualifications
- Demonstrated proficiency with ADP Workforce Now; experience processing full-cycle payroll preferred.
- Working knowledge of 401(k) plan administration and familiarity with Fidelity's employer plan platform.
- Solid understanding of federal and California leave laws (FMLA, CFRA, PDL, ADA, SDI, PFL).
- Strong attention to detail and commitment to data accuracy and process discipline.
- Autonomous learner with high motivation to independently identify and resolve issues.
Skills
- Microsoft Office Suite, particularly Excel.
- Effective communicator with the ability to explain complex payroll or benefit topics clearly to employees.

Pay
Total Compensation Target (Base + Bonus): California: $96,000 – $110,000 Actual compensation will be determined based on experience, qualifications, and work location.
