Core Responsibilities
- Cook up and organize usage of Muli-Purpose Room/meeting rooms for both internal and external clients.
- Collaborate and work alongside the Regional Hospitality Manager and Office Administrator on event planning, setup, and execution.
- Handle logistics for internal/external meetings and events, including ordering food and beverages, setting up AV equipment, and managing all related tasks.
- Consult with meeting contacts to clarify event requests, advise on catering and room set-up options, and ensure the event meets the client's needs.
- Provide beverage service for clients, guests, and department meetings, including set-up, regular refreshments, and cleanup.
- Support firm/marketing-sponsored functions, such as special after-hours events, by assisting with set-up, clean-up, and catering coordination.
- Display a professional demeanor, maintain a friendly and helpful attitude, and emphasize customer service towards clients, attorneys, and office staff.
- Build and maintain relationships with caterers, event planners, and other relevant vendors to ensure cost-effective catering and meeting services.
- Process all invoices related to food and beverage catering orders.
- Maintain cleanliness and organization in conference rooms, reception areas, kitchens, restrooms, and other common areas.
- Assist in covering backup receptionist duties as needed.
- Adhere to Firm processes and policies as directed by the Office Administrator, supervisors, managers, and documented Standard Operating Procedures.
Requirements
- Outgoing, courteous, professional, and dependable personality.
- Excellent people and communication skills.
- Ability to adapt to changing workflows quickly.
- Experience using Microsoft Outlook and Word.
- Two years of experience in hospitality services.
- A Bachelor’s degree and/or Law firm experience is preferred.
