About the Role

FirstLight® Home Care of McKinney is a growing home care agency seeking an experienced Operations Manager to help strengthen and organize our day-to-day operations. The ideal candidate is process-minded, takes initiative, and can help develop the systems, procedures, and organization needed to support a growing agency. The Operations Manager will play a key role in building and maintaining the foundation that ensures exceptional care through strong systems, accurate documentation, and organized processes.

Responsibilities

  • Organize and support the agency’s day-to-day operations to ensure processes are efficient, consistent, and well-structured.
  • Develop, document, and maintain Standard Operating Procedures (SOPs), checklists, workflows, and internal processes to improve efficiency and consistency.
  • Identify operational gaps or inefficient processes and work with agency leadership to develop and implement practical solutions.
  • Maintain organized and compliant client and caregiver files, including required documentation, credentials, training records, authorizations, and expiration tracking.
  • Coordinate new client setup and caregiver onboarding, ensuring required documentation, background checks, training, credentials, and system setup are completed.
  • Support documentation and administrative requirements for long-term care insurance, Medicaid/waiver programs, VA-authorized care, and other payer sources, as applicable.
  • Utilize WellSky Personal Care (formerly ClearCare) to maintain accurate client, caregiver, scheduling, and service information.
  • Utilize Viventium and other agency systems to support employee onboarding, payroll processes, and personnel records.
  • Support caregiver scheduling and service coordination to ensure reliable coverage and continuity of care.
  • Review payroll, billing, and operational information for accuracy and follow up on discrepancies or outstanding items.
  • Track recurring administrative and compliance requirements and ensure important deadlines and follow-up items are completed.
  • Communicate professionally with clients, families, caregivers, vendors, insurance companies, and other partners while maintaining confidentiality.
  • Perform all other duties as assigned.

Requirements

  • High School Diploma required; College Degree preferred.
  • Previous experience in home care, senior care, healthcare operations, care coordination, staffing, or a related field strongly preferred.
  • Experience with WellSky Personal Care/ClearCare strongly preferred; experience with Viventium or a similar payroll/HRIS platform is a plus.
  • Knowledge of client and caregiver file management, onboarding, scheduling, and home care documentation requirements preferred.
  • Experience with long-term care insurance, Medicaid/waiver programs, VA-authorized care, or other home care payer sources is a strong plus.
  • Experience developing SOPs, workflows, checklists, or improving operational processes preferred.
  • Strong organizational and problem-solving skills with excellent attention to detail and the ability to manage multiple priorities independently.
  • Strong written and verbal communication skills with the ability to professionally communicate with clients, families, caregivers, and team members.
  • Ability to learn and navigate multiple software platforms while maintaining confidentiality of client and employee information.
  • Possess and maintain a valid driver’s license and valid auto insurance.
