HOA Senior Community Manager- Palm Desert

By partnering with multiple Boards of Directors, the Senior Community Manager builds longstanding relationships to assist in the development of goals for each Homeowner’s Association and supports the Boards in deploying strategic plans to meet those goals. This position includes managing several different accounts during attrition, transition, and/or account set-up, and involves working with various department representatives to ensure all tasks and projects meet client needs.
Responsibilities
- Ensure all Civil Code, State and City statutes and ordinances, and legal document requirements are met to keep the Board of Directors and Association in compliance.
- Manage Board of Directors, Committee Members, and Community Member relations.
- Coordinate, attend, and oversee all client meetings.
- Create agendas for Board and Committee meetings and prepare packets (Board Packets) in accordance with company procedures.
- Handle all Board meeting follow-up, including meeting minutes and correspondence.
- Assist in preparing and distributing information materials regarding Association rules and policies to new and existing homeowners.
- Schedule, coordinate, and monitor activities of contractors, vendors, or service providers working in the Association’s common areas and report progress to the Board.
- Devise and implement a system to receive and respond to homeowners’ maintenance requests, reporting status to the Board as appropriate.
- Conduct ongoing routine site inspections as per the management contract and provide recommendations to the Board.
- Meet with homeowners to discuss noncompliance issues and schedule/attend job walkthroughs with vendors.
- Oversee association fiscal management, including financial statement review and comprehension, in conjunction with the assigned financial representative.
- Coordinate with the accounting department on billing, collection, budget, taxes, audit, and financial statement preparation.
- Advise the Board of Directors about the Association’s current budget and report any deficiencies.
- Monitor and report homeowner assessment delinquencies and oversee liens, foreclosures, and collection efforts.
- Manage payments and receipts for the association, authorize payment of invoices, and report discrepancies to the Board.
- Manage the bid process by obtaining competitive bids for work exceeding authorized limits and submit bids to the Board for review and approval.
- Educate Board Members on legislative changes impacting their association, with assistance from the association’s general counsel as needed.
- Manage all deadlines (internal and external) and update the association’s annual calendar.
- Oversee association insurance coverage and needs, coordinating with the assigned insurance coordinator.
- Manage and submit all charge-backs to association(s) monthly.
- Manage litigation needs and provide status reports to the Board, with assistance from the association’s general counsel as needed.
- Oversee Association vendors and ensure performance of the scope of work on their contracts.
- Process homeowner violations.
- Coordinate all aspects of the annual meeting/election process.
- Maintain all association files (past and present) in accordance with company standardized systems.
- Utilize company support staff to accomplish daily tasks efficiently and professionally.
- Maintain a chronological file of all duly adopted meeting minutes and resolutions.
- Maintain a current roster of names, addresses, and telephone numbers of all unit owners and tenants.
- Submit contract obligations for Board ratification.
- Supervise and train personnel working on the property on behalf of the Association.
- Implement Board policy and enforce governing documents using good business judgment.
- Attend and exhibit leadership at industry functions.
- Manage special projects.
- Must have reliable transportation, a driver’s license, and be able to drive to association clients, potential clients, and other meetings as necessary.
Requirements
- 3+ years of experience in the industry, managing homeowners’ associations, city government, or related experience.
- 1+ years of supervisory experience across multiple locations; effective in motivating and building strong teams.
- Excellent customer service and relationship-building skills.
- Comprehensive knowledge of management practices, accounting procedures, personnel practices, Association CC&Rs and Bylaws, inventory and procurement, contract relations, association maintenance, and safety practices.
- Effective communication skills, including oral, written, and listening, with the ability to draft, coordinate, and make presentations in Board meetings and large audiences.
- Collaborative decision-making and problem-solving skills.
- Strong analytical and creative thinking skills.
- In-depth experience with project management, budget management, and strategic goal development.
- Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
- Ability to read and understand financial statements, budgets, and explain them to a larger audience, particularly the Board of Directors.
- Ability to draft business correspondence and reports and respond to inquiries and client concerns effectively and independently.
- Strong organizational skills and time management abilities while working in a fast-paced, multitasking environment.
- Ability to set and communicate deadlines and follow through on tasks for clients, including resident homeowners, committees, and boards of directors.
- Demonstrate integrity and honesty while interacting with clients and team members.
- Ability to work independently and in a team environment.
- Must be able to attend and actively participate in evening meetings as required.
- Must be able to be on-call if needed.
Qualifications
- High School Diploma or equivalent required; Bachelor’s degree preferred.
- CCAM® designation or CMCA®/AMS® designations desired; CCAM® will be required within one year of employment.
- Valid Driver’s License and State mandated vehicle insurance.
Schedule
Regular business hours and must be available for Board meetings after regular business hours, as necessary.
