Key Responsibilities
- Review, organize, and pay household bills in a timely manner
- Track household expenses and maintain organized records for financial review
- Process household payments and coordinate with banking as needed
- Serve as primary contact for general contractor regarding second home repairs and maintenance
- Coordinate with landscaping company for scheduled and as-needed landscaping services
- Meet vendors and repairmen at the house (quarterly exterminator visits, plumbing, electrical, etc.)
- Maintain household vendor database with contacts, service schedules, and relationship management
- Schedule and coordinate quarterly and ongoing home maintenance activities
- Ensure all vendor interactions maintain family privacy and security protocols
- Book and schedule flights and coordinate all flight logistics
- Work with travel agent on travel arrangements and itinerary planning
- Manage travel timing, logistics, and household preparation for trips
- Manage household operations when family is out of town
- Maintain discretion regarding family travel plans and schedules
- Walk family dog daily
- Coordinate and transport to grooming appointments
- Ensure receives consistent, reliable daily care
- Water outdoor plants weekly and maintain fresh flowers and plants throughout the house
- Keep pantry and kitchen organized and well-stocked
- Maintain organized garage and storage areas
- Organize and coordinate household items including packing, distribution, and donations
- Help organize storage units and coordinate disposal or donation of unwanted items
- Collaborate with designer on organization and arrangement of household items
- Order and pick up groceries weekly
- Arrange gas and car washing services
- Coordinate dry cleaning services including drop-off and pick-up

- Coordinate and execute all household shopping and errands
- Demonstrate proficiency with technology platforms and household systems
- Manage digital calendars, schedules, and household coordination systems
- Maintain organized digital files and records for household operations
- Maintain appropriate digital security and privacy protocols
Qualifications
- 5 or more years of professional experience in household management, personal assistance, estate management, education sector or similar high-touch operational role
- Demonstrated experience managing operations for high-net-worth individuals or families OR have an true understanding of the dynamics and personality needed
- Proven track record of successfully managing complex, multi-faceted household operations
- Excellent organizational skills with demonstrated ability to manage multiple competing priorities simultaneously
- Strong communication skills, both written and verbal, with ability to communicate with household members, vendors, contractors, and service providers
- Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook) and other productivity software
- High level of technical fluency and ability to quickly learn new systems and platforms
- Absolute discretion and confidentiality regarding household information, family privacy, and business matters
- Understanding of the unique demands and sensitivities of high-profile family life
- Valid driver's license with reliable transportation
- Physical ability to walk and exercise a dog daily
- Flexibility with scheduling to accommodate household needs
- Willingness to meet vendors, contractors, and service providers at the house
- Willingness to sign confidentiality and non-disclosure agreements
