HIM Analyst
About the role
The HIM Analyst is tasked with validating, processing, and sending copies of medical records for all Atlantic Health facilities, including Atlantic Medical Group, Primary Care Partners, and Atlantic Health Partners. This role ensures all releases are handled in a timely and efficient manner, maintaining accuracy and providing high-quality customer service. The HIM Analyst must have strong knowledge of release of information guidelines per state and federal laws, uphold security and confidentiality guidelines, and observe all policies regarding patient privacy and legal interests.
Responsibilities
- Courteously answer telephone inquiries from internal and external customers.
- Retrieve, sort, and stamp all incoming mail in preparation for logging and invoicing.
- Retrieve faxes and organize documents chronologically for processing.
- Log all release of medical information in the ROI tracking system, including requestor details, address, date sent, and type of documents.
- Password-protect all electronic media.
- Certify medical records as requested or needed.
- Process in-person requests during operational hours and validate identity.
- Create and prepare Radiology discs as requested.
- Create and release requested records via MyChart.
- Process Proxy requests and requests on the PFS workqueue and other tracking system queues.
- Process incoming checks and validate medical records in printed or electronic form prior to release.
- Track and order office supplies for the department.
- Forward questionable release of information requests to the HIM Supervisor prior to release.
- Support external and internal audits by building batches and providing charts to reviewers.
- Process all requests for medical records related to DRG/Medical Necessity reviews (e.g., Medicare, Medicaid, Commercial) with 100% accuracy and log them in the audit/denial tracking system.
- Collaborate with Supervisors, Coding teams, and Physician Advisors on processing results and appeals.
Requirements
- Associate degree in Health Information or bachelor’s degree in Health Information Management, or High School diploma with experience working in healthcare.
- AHIMA credential is preferred.
- Two years of relevant experience in a healthcare setting working with electronic medical record systems (preferred).
- Experience in release of information (preferred).
