Group Coordinator

The Group Coordinator is responsible for managing all reservations for groups, including meeting with planners and catering managers, room block monitoring, and client correspondence.

  • Identify, block, and process staff and VIP lists.
  • Review rooming lists for accuracy.
  • Process room and dining reservations.
  • Avoid errors in processing.
  • Send confirmations and literature requests.
  • Answer all reservations and communications.
  • Follow wake-up call procedures.
  • Handle emergencies.
  • Attend preconvention meetings.
  • Communicate with meeting planners.
  • Work with Catering/Conference Services and Sales Managers.
  • Maintain open communication channels.
  • Handle administrative duties as assigned.

Essential Functions

Qualifications

  • High school or equivalent education.
  • Previous Reservations or Group Coordinator experience.
  • Luxury hotel experience preferred.
  • Bachelor’s Degree preferred.
  • Delphi experience preferred.
  • Attendance at all scheduled/mandatory training sessions and meetings required.
  • Must be able to lift up to 15lbs.
  • Must be able to sit for up to 8 hours per day.
  • Must be able to walk, stand, bend, climb, listen, hear, and use manual dexterity.
  • Must be able to spend extended lengths of time viewing a computer screen.

Physical Requirements

  • Most work tasks performed indoors.
  • Temperature generally is moderate and controlled by Resort environmental systems.
  • Must be able to sit for up to 8 hours per day.
  • Walking and standing are occasionally required.
  • Must be able to lift up to 15lbs.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening, hearing, and visual acuity.
  • Requires manual dexterity to use and operate all necessary equipment.

Preferred

  • Luxury hotel experience.
  • Bachelor’s Degree.
  • Delphi experience.
