About the role
This position serves as a member of the administration team responsible for various administrative tasks related to the Foundation's grantmaking and general operations. Reporting to the President/CEO and Vice President, Treasurer & CFO, this role requires a minimum of 40 hours per week on-site, typically Monday through Friday from 8:30 a.m. to 5 p.m., with occasional evening and weekend work for special events and outreach.
Responsibilities
- Enter data, process requests and payments, develop and attach electronic documents, perform analysis, and produce reports using Foundant GLM software or similar nonprofit software.
- Promote administrative aspects of the grantmaking process.
- Create grant files meeting legal, auditing, and foundation requirements, including developing and maintaining electronic records.
- Contribute to and assist with the preparation of board materials and reports.
- Collect, sort, respond to, and maintain grants management mail.
- Receive guests and maintain the Foundation's grant-related calendar and email.
- Contribute to streamlining and increasing efficiency of office procedures and systems.
- Lead for inquiries and coordinate usage involving The Edyth, the Foundation's headquarters, by outside groups.
- Aid in setting up in-house meetings, maintaining common areas, and supporting general office operations.
- Coordinate and maintain electronic media content and communications.
- Provide backup support to Executive Assistants, as needed.
- Interact with internal and external stakeholders.
- Undertake special projects and other duties as assigned.
Requirements
- Bachelor’s degree preferred.
- Minimum 5 years of administrative experience within a professional office environment, with non-profit or philanthropic experience preferred.
- Foundant software experience preferred.
