Major Duties
- Procurement & Tracking: Assist with the development, organization, and tracking of grant solicitations, contracts, and procurement activities.
- Proposal Review: Monitor grant and contract pipelines throughout the procurement lifecycle and conduct preliminary administrative reviews of submitted proposals.
- Evaluation Support: Coordinate evaluator schedules, maintain meticulous evaluation documentation, and process financial/contractual data within the Statewide Financial System (SFS).
- Data & System Management: Create, maintain, and optimize spreadsheets, databases, and electronic filing systems.
- Communications: Monitor shared team inboxes and act as a professional point of contact for bidders, grantees, and internal agency stakeholders.
- Team Collaboration: Take concise meeting notes, track actionable follow-up items, and provide cross-functional administrative support to the broader Agency/Commercial Contracts Team as needed.
Qualifications
- Education: Associate degree required (Bachelor’s degree preferred).
- Experience: Minimum of two (2) years of professional administrative or office support experience.
- Tech Savvy: High proficiency with Microsoft Office Suite, with strong foundational skills in Excel (ability to create, maintain, and manipulate spreadsheets) and Outlook.
- Communication: Exceptional written and verbal communication skills.
- Organization: Elite time-management and analytical skills, with a proven ability to manage multiple priorities and adapt to shifting deadlines.
Preferred Qualifications
- Prior experience in government, procurement, grants, or contract administration.
- Familiarity with public sector compliance or grant management processes.
- Recent graduates with relevant internship or administrative experience are highly encouraged to apply!
Exciting Opportunity Details
- Rate: $ 22.60/hour
- Length of engagement: 1 year with potential for extension!
- Days/Hours: Full time, 37.5 hours per week. Monday-Friday, standard business hours.
- Location: Albany, NY 12208 Hybrid after training period (50% in office and 50% remote)
