As a Grants Coordinator, you will ensure the successful development, implementation, and closeout of grants to meet school and funder goals. This position oversees program implementation, compliance, audits, financial adherence, renewals, and other funder requests. The role is grant-funded and may be allocated to sources such as Title I, SIG, IDEA, and Perkins.
Responsibilities
- Administers and monitors all aspects of grants according to funder specifications.
- Works with school staff to ensure grant programs are implemented with fidelity.
- Maintains a calendar of grant-related deadlines and collaborates with staff to implement funding strategies.
- Works closely with Regional Business Operations Manager, Principal, Business Operations Manager, Registrar, Enrollment, Accounting, Finance, Grants Specialist, and other support staff to ensure program and financial compliance.
- Monitors and manages rollover budgets and approvals.
- Tracks, monitors, and facilitates all grant purchases and staffing to ensure compliance and utilization.
- Assists with the preparation and submission of grant planning reports, budgets, and annual applications/proposals.
- Gathers and completes grant quarterly and annual reports, including Maintenance of Effort, Comparability Reporting, Time & Effort Logs, and Semi-Annual Certifications.
- Monitors schools for adherence to grant guidelines and regulations.
- Works with parent liaison to ensure parent involvement plans comply with grant guidance.
- Ensures deliverables in grant applications are implemented and achieved while maintaining accurate documentation.
- Stays current on regulations and meets with staff to ensure delivery of grant objectives.
- Maintains current property inventory records for each program.
- Assists with creating and maintaining activity records, such as student rosters and teacher class schedules/lesson plans.
- Oversees independent evaluator activities and contracted services.
- Maintains a complete compliance binder with all grant-related records, including award notices, reimbursement documentation, and contracts.
Requirements
- Bachelor’s or higher degree from an accredited university, preferably in Education, Business, or a related field.
- 2-4 years of experience in budgeting, grants, or K-12 education.
- High proficiency in Excel, Word, and other Office tools.
- Commitment to company values.
- Light travel to training, conferences, and meetings may be required.
Skills
- Ability to analyze data and assess progress toward meeting grant indicators.
- Experience working with large datasets, analyzing and interpreting data, detecting errors, and preparing reports.
- Skill in developing, maintaining, and analyzing budgets, and preparing cost reports.
- Proficiency in using computer software for budgeting, such as Excel.
- Strong report-writing skills.
- Excellent interpersonal skills for handling sensitive and confidential situations with poise, tact, and diplomacy.
- Effective communication with key stakeholders, including teachers, principals, and the community.
- Knowledge of K-12 educational systems, particularly schools serving disadvantaged students.
- Ability to interpret and apply regulations and guidelines from government agencies.
- Experience processing reimbursement forms.
- Ability to work independently under pressure, with high attention to detail and meeting deadlines.
- Strong team contributor in a collaborative environment.
- Reliability in attendance, punctuality, and following management direction.

- Knowledge of federal and state grant guidelines, such as EDGAR, A-87, Single Audit, and A-133.

Physical Demands
- Light physical exertion: occasionally exerting up to 20 pounds of force and frequently up to 10 pounds.
- Travel within or outside the state may be required.
