Responsibilities
- Provide proactive and high-level administrative support to executives and leadership across multiple time zones.
- Coordinate complex international and domestic schedules, meetings, and travel arrangements.
- Prepare meeting agendas, materials, briefing documents, and take accurate meeting minutes.
- Assist with confidential correspondence, communications, and document management.
- Handle sensitive information with the utmost professionalism, discretion, and integrity.
- Collaborate with the operations department to track project timelines, deliverables, and status updates.
- Monitor and optimize executive workflows, anticipating needs and prioritizing daily requirements.
- Act as a liaison between executive leadership, clients, and key internal or external stakeholders worldwide.
- Support scheduling for cross-functional teams and manage logistical arrangements for events or conferences.
- Recommend and implement process improvements to enhance operational efficiency.
- Develop and maintain efficient filing, task tracking, and document management systems.
- Support expense reconciliation and executive reporting as needed.
Qualifications
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting senior leadership.
- Experience in global operations, security services, or a regulated environment is a plus.
- Possessing the notary certification or obtaining one within one month of employment.
- Exceptional organizational, time-management, and problem-solving skills.
- Outstanding written and verbal communication abilities.
- Strong attention to detail and ability to work with minimal supervision in a high-demand setting.
- Proficiency in Google Suite (Docs, Spreadsheets, Slides, Gmail), AI utilisation, and calendar management tools; experience with collaboration platforms is desirable.
- Ability to prioritize, multitask, and adapt quickly to shifting priorities in a global context.
- Discretion and sound judgment when handling confidential or sensitive information.
Position Details
Location: Manhattan, NY (in person)
Schedule: Full-time, 5 days per week – flexible hours required (may include occasional weekends)
Compensation: $60,000 to $65,000 annually, based on experience
