About the role
The Museum of Science seeks a Supervisor, Gifts & Grants to oversee the management of gifts and grants during a high-demand period, including proposal development, financial oversight, and post-award activities.
Responsibilities
- Manage the full lifecycle of gifts and grants, including proposal support, award setup, financial tracking, reporting, and closeout.
- Partner with Advancement and internal stakeholders to develop and submit grant proposals, including budgets and required documentation.
- Ensure budgetary and financial information is accurate, complete, timely, and compliant with donor restrictions, grant agreements, and applicable regulations.
- Maintain accurate records of restricted fund activity, including commitments, expenditures, pledges, and balances across systems.
- Support month-end and year-end close processes, including journal entries, reconciliations, and financial reporting.
- Prepare audit schedules and supporting documentation and respond to auditor requests related to financial and grant audits.
- Process and review invoices, payment requests, and transactions to ensure accuracy and compliance with award requirements.
- Provide day-to-day guidance to departments regarding allowable spending, restrictions, and fund availability.
Qualifications & Experience
- Bachelor's degree in Accounting, Finance, or a related field.
- Experience managing grants, restricted funds, or nonprofit finance across the full award lifecycle.
- Experience with grant proposal development, budgeting, and post-award financial management.
- Knowledge of restricted fund accounting, Generally Accepted Accounting Principles (GAAP), and/or Uniform Guidance.
- Ability to manage multiple priorities and concurrent deadlines in a fast-paced environment.
