About the role
This position is responsible for administrative support to the Magistrate. The assistant is responsible for preparing and maintaining the Magistrate’s court and professional calendar; reviewing submissions from parties, lawyers and Clerk primarily via email and the court's internal case management system viewer (JVS) for transmission to the Magistrate for further action; organizing, maintaining, and tracking work submitted to and from the Magistrate; reviewing relevant portions of electronic court files for compliance and completeness prior to submitting the case to the Magistrate for review; responding to emails, US Mail and phone calls; drafting proposed orders and/or reports and recommendations; case management; maintaining dockets, tracking and managing requests for continuances, tracking report and recommendations or orders; scheduling motions, hearings, conferences and trials. Interacting and establishing relationships with Magistrates, Judges, Clerk of Court staff, attorneys, law enforcement, social services, and the general public.
Responsibilities
- Works independently under general supervision according to procedures while developing work methods
- Creates/drafts and/or types correspondence, court orders, pleadings, memoranda, reports, emails, and other documents observing strict confidentiality
- May assist the Magistrate in special projects, including case management, research and typing
- Develops and maintains working relationship with Clerk of Court office to ensure efficient delivery of services
- May provide temporary coverage for other Magistrate Assistants at other court annexes
- Attends staff and other professional meetings
Requirements
- Bachelor’s Degree and two years of experience working in business administration, paralegal, secretarial skills or a closely related field
- Three years of professional administrative analytical related experience
Skills and Abilities
- Knowledge of the legal system, specifically dependency and family court divisions
- Knowledge of the rules of English grammar, spelling, punctuation
- Ability to work within deadlines to complete projects and assignments
- Proficient in Microsoft Word, Outlook and Excel
- Ability to prioritize work and communicate effectively verbally and in writing
