General Assistant

Responsibilities

• Handle outreach to assistants both verbally and via email to get overflow work tasks each week, including deal entry, issuing contracts, and requesting past due contracts/deposits.
• Collaborate with assistants each day on all assigned tasks and update tracking grid for each task as it is both received and completed, ensuring adherence to deadlines.
• Assist in overflow ticket count collection for assigned tours, adhering to the specified schedule for sending these counts to artist management.
• Compile and distribute daily updates company-wide, including festival offers, avails for artists, and daily artist show reports.
• Retrieve upcoming shows from the booking system and send the “Guest List” email company-wide for shows scheduled from Tuesday to Monday.
• Possible desk coverage assignments when assistants are using PTO.
• General ad-hoc projects as they arise.

Requirements

• Highly organized with the ability to manage multiple projects simultaneously and meet tight deadlines.
• Excellent written and verbal communication skills. Must be comfortable speaking on the phone as it is a critical component of this position.
• Ability to build and maintain relationships internally.
• Previous administrative experience in a similar role and proficiency using Microsoft Suite preferred.

Location

In-office, preferably in our Nashville office—though we're also open to candidates based in our New York, NY office (Lower East Side).

Pay

$42,500.00 per year plus overtime.

Schedule

Monday through Friday, evenings and weekends as needed.
