About the role

Samsung SDS America is looking for a hands-on, experienced General Affairs Specialist to launch and run our new office operations in Plano, Texas. As our first GA Specialist on the ground, you will build out our local vendor networks, establish workplace operations, and manage facilities across our sites.

Responsibilities

  • Run the daily operations and setup of the new Plano office, making sure the workplace is fully functional from day one
  • Partner with HR to help welcome and onboard employees transferring from the New Jersey office, serving as the local point of contact for their workplace transition
  • Cook with different departments to keep everyone aligned and minimize business disruption during the move
  • Manage the local inventory, tracking, and distribution of company PCs, accessories, and office hardware
  • Work closely with the IT infrastructure team to ensure office connectivity, network room safety, and immediate hardware availability for new hires and transfers
  • Supervise the layout and maintenance of local server rooms and specialized labs, keeping them aligned with power and security protocols
  • Oversee facilities maintenance, space planning, and general office operations for the Texas location, while supporting multi-site needs as required
  • Source, negotiate, and manage contracts with vendors for security, janitorial services, office supplies, cafeteria management, and corporate transit
  • Deal directly with building management regarding lease agreements, office modifications, and structural improvements
  • Build and manage the site's GA budget, focusing on cost efficiency and accurate spending forecasts
  • Track and control expenses for facilities upkeep, office setups, and IT hardware inventory
  • Handle vendor invoicing and review performance metrics to ensure we are getting the service quality we pay for
  • Prepare and present monthly, quarterly, and annual reports on facility operations, budget utilization, and cost-saving initiatives
  • Provide regular updates and recommendations to senior management on office operations, risk management, and workplace improvements
  • Track and analyze vendor performance, employee satisfaction, and workplace efficiency metrics to drive continuous improvement
  • Ensure compliance with corporate governance reporting requirements, including safety audits, risk assessments, and cost reports
  • Ensure the office strictly complies with local, state, and federal workplace safety laws, including OSHA regulations
  • Put together local emergency response and business continuity plans
  • Manage building access control, security badges, and visitor registration systems
  • Work with internal and external stakeholders to ensure adherence to security and operational protocols
  • Maintain necessary licenses and permits for office activities
  • Handle logistics, local transport, and office setups for visiting executives, clients, and international expatriates
  • Support internal events, all-hands meetings, and conferences by organizing the spaces and necessary AV equipment

Requirements

  • Bachelor's degree in Business Administration, Facilities Management, or a related field is preferred (or an Associate degree with equivalent experience)
  • 2+ years of experience running corporate facilities or general affairs
  • Solid experience setting up a new office, managing a large corporate relocation, or handling multi-site operations
  • Clear understanding of corporate IT asset tracking and basic office technology setups
  • Strong negotiation skills and experience managing commercial service contracts
  • Experience working within an international or multinational corporate environment is a plus
  • Able to work in a fast-paced environment and manage multiple priorities effectively
  • Must be authorized to work in the US without restriction
  • Able to travel up to 35% within the US
