Full-Charge Bookkeeper/ Office Manager

About the role

This role is ideal for a highly organized professional who thrives in a fast-paced environment and can work independently while partnering closely with ownership and the company's CPA.

Responsibilities

  • Oversee all accounting and financial operations for the company.
  • Collaborate with the company's CPA to ensure accurate financial reporting and regulatory compliance.
  • Establish, maintain, and continuously improve accounting processes and office procedures.
  • Process payroll, including certified payroll reporting, payroll tax filings, and employee benefit administration.
  • Cook up preliminary notices, lien waivers, and lien release documentation.
  • Manage the full accounts receivable cycle, including invoicing, collections, deposits, and customer account maintenance.
  • Process accounts payable by receiving invoices, obtaining approvals, collecting required releases, and preparing payments.
  • Reconcile bank accounts, credit card statements, and other financial accounts.
  • Set up new jobs, monitor project costs, maintain job costing records, and prepare work-in-progress (WIP) schedules.
  • Complete monthly, quarterly, and year-end closing activities.
  • Administer company insurance policies, including workers' compensation, commercial auto, inland marine, and general liability, while coordinating renewals, claims, and premium payments.
  • Maintain all business licenses, contractor licenses, OSHA compliance documentation, and renewal requirements.
  • Oversee vehicle registrations, DMV renewals, toll account management, and smog certification compliance.
  • Supervise and support front office administrative staff.
  • Monitor and reconcile company credit lines, equipment financing, and vehicle loan accounts.
  • Manage recurring operating expenses, including utilities, telephone systems, mobile services, and internet accounts.
  • Coordinate vendor services such as janitorial, landscaping, pest control, and fire protection maintenance.
  • Maintain software subscriptions, licensing agreements, renewals, and vendor accounts.
  • Provide the owner with regular updates on financial performance, office operations, and outstanding issues through weekly status meetings.

  • AP, AR, certified payroll, prevailing wage

Qualifications

Experience in accounting and finance, with a focus on bookkeeping and office management. Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously are essential. Proficiency in Microsoft Office Suite and accounting software is required. Knowledge of local regulations and compliance standards is beneficial.

Skills

Strong analytical and problem-solving skills, excellent communication and interpersonal abilities, and the ability to work independently and as part of a team are crucial. Proficiency in QuickBooks and other accounting software is preferred.
