Front Welcome Desk Receptionist (BLANK AST 2)
About the Role
Under the supervision of the Business Operations Manager, act as the first point of contact for the building, serving a broad spectrum of individuals and groups including students, faculty, staff, parents, and the general public. Create a welcoming environment while responding to a variety of inquiries, screening and directing callers/visitors, and providing assistance through independent investigation of questions and issues.
This position has regular access to collective bargaining information and decisions and provides support to the senior management team regarding the confidential retention of such documents.
Responsibilities
- Serve as the Welcome Desk receptionist, handling inquiries and ensuring a welcoming atmosphere.
- Screen and direct callers and visitors to appropriate resources.
- Investigate and resolve questions and issues independently.
- Provide records management support, including scanning, indexing, and retrieving documents.
- Administer and revoke building access for individuals as needed.
- Perform purchasing and accounts payable duties.
- Serve as backup support to the Office of the Chancellor and Provost (OCP) Operations team.
- Support the senior management team with confidential document retention related to collective bargaining.
Key Responsibility Breakdown:
- 40% - Reception Desk Support

Qualifications
Minimum Qualifications:
- Bachelor’s degree in a related area and/or equivalent experience/training.
- Professional experience working in an executive-level office environment or welcome desk.
- Experience with accounts payable, purchasing, and business operations.
- Proficiency in various software programs (word processing, scheduling, spreadsheets, and databases).
- Exceptional organizational and project management skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Strong writing, editing, and proofreading skills with strict attention to grammar, spelling, and punctuation.
Preferred Qualifications:
- Experience with UC Davis software systems such as AggieTravel, AggieBuy, PrePurchasing, and Ceremonies and Events Management System (CEMS).
- Knowledge of the roles of faculty, staff, and administrators, and protocols for communication and interactions in a university environment.
- Familiarity with University of California and UC Davis campus policies and procedures.

Pay
Salary Range: $25.45 - $36.05 per hour
Salary Grade: 109
Schedule
- Shift: Monday - Friday, 8:00 AM to 5:00 PM
- Percentage of Time: 100%
- Appointment Type: Staff: Career
- Restricted vacation schedule from May through July.
- Occasional overtime may be required to meet business needs or provide coverage during planned absences.
This position is 100% on-site in Davis, CA.
