About the Role

This Front Office Specialist position is based at the South Grand office in St. Louis, MO. You will act as the first point of contact, setting the tone for a world-class Total Patient Experience by building relationships with patients while delivering great service and support. Training is provided—no medical or eyecare experience is required.

Responsibilities

  • Embrace and execute the Total Patient Experience to build relationships with all patients while delivering great service and support
  • Provide exceptional customer service during every patient encounter (in person or via phone)
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave
  • Answer phones (both external and internal); assure prompt, courteous service at all times
  • Practice urgency at all times with consideration to the patient's time, as well as doctor's time and schedule
  • Double check insurance authorizations to ensure completion and build accurate flow sheets
  • Check out patients and collect correct payments according to procedures
  • Manage patient flow in the office and ensure communication to maximize efficiency and customer service
  • Complete daily reconciliations / close day / countdown cash drawer
  • Comply with all company policies and procedures, including HIPAA
  • Perform general office duties and cleaning as assigned by the manager

Qualifications

  • Previous medical office experience preferred; previous optometry and/or ophthalmology experience strongly preferred
  • Minimum of 1 year in a position interacting with customers/patients or the equivalent combination of education and experience
  • Favorable result on background check as required by state
  • Must be able to provide proof of identity and right to work in the United States

Education

  • High School Diploma or GED required

  • Proficient in Microsoft Excel, Word, PowerPoint, Outlook

Schedule

  • Full Time
  • Offices are open Monday-Friday 8am-7pm, Saturday 8am-1pm (exact hours vary by day and location)
  • You may need to work a little earlier and/or later as needed
  • You will not work all of these hours, but you must have open availability to work any shift within these hours

Physical Requirements & Work Environment

  • Work is primarily performed in a standard office or clinical setting; travel to other locations may be required
  • Frequent walking (75%), sitting (50%), and standing (50%)
  • Regular bending, stooping, and reaching (25–50%)
  • Must be able to lift, carry, push, and pull items up to 25 lbs
  • Strong fine motor skills and full use of hands; constant grasping, writing/typing, and use of technology
  • Visual and auditory acuity—including color, depth, peripheral vision, and ability to adjust focus—required 100% of the time
  • Occasional driving or climbing may be necessary
