About the role
A Front Office Specialist acts as the first point of contact, setting the tone for a world-class Total Patient Experience. This role performs necessary administrative responsibilities to create a smooth check-in and check-out experience for patients.
Responsibilities
- Embrace and execute the Total Patient Experience to build relationships with all patients while delivering great service and support.
- Provide exceptional customer service during every patient encounter (in person or via phone).
- Display a professional attitude, greet patients promptly with a smile, and thank them when they leave.
- Answer phones (both external and internal); ensure prompt, courteous service at all times.
- Practice urgency with consideration to the patient's time, as well as the doctor's time and schedule.
- Double-check insurance authorizations to ensure completion and build accurate flow sheets.
- Check out patients and collect correct payments according to procedures.
- Manage patient flow in the office and ensure communication to maximize efficiency and customer service.
- Complete daily reconciliations, close the day, and count down the cash drawer.
- Comply with all company policies and procedures, including HIPAA.
- Perform general office duties and cleaning as assigned by the manager.
Requirements
- Previous medical office experience preferred; previous optometry and/or ophthalmology experience strongly preferred.
- Minimum of 1 year in a position interacting with customers/patients or an equivalent combination of education and experience.
- Favorable result on background check as required by state.
- Must be able to provide proof of identity and right to work in the United States.
- High School Diploma or GED required.
Skills
- Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.

Work Environment
Work is primarily performed in a standard office or clinical setting. Travel to other locations may occasionally be required to carry out essential job duties and responsibilities.
Physical Requirements
- Frequent walking (75%), sitting (50%), and standing (50%).
- Regular bending, stooping, and reaching (25–50%).
- Ability to lift, carry, push, and pull items up to 25 lbs.
- Strong fine motor skills and full use of hands for constant grasping, writing/typing, and use of technology.
- Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—required 100% of the time.
- Occasional driving or climbing may be necessary.
