About the role

A Front Office Specialist acts as the first point of contact, setting the tone for a world-class Total Patient Experience. This role also handles administrative tasks to ensure a smooth check-in and check-out process for patients.

Responsibilities

  • Embrace and execute the Total Patient Experience to build relationships with all patients while delivering great service and support
  • Provide exceptional customer service during every patient encounter (in person or via phone)
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave
  • Answer phones (both external and internal) and ensure prompt, courteous service at all times
  • Practice urgency with consideration to the patient's time, as well as the doctor's time and schedule
  • Double-check insurance authorizations to ensure completion and build accurate flow sheets
  • Check out patients and collect correct payments according to procedures
  • Manage patient flow in the office and ensure communication to maximize efficiency and customer service
  • Complete daily reconciliations, close the day, and count down the cash drawer
  • Comply with all company policies and procedures, including HIPAA
  • Perform general office duties and cleaning as assigned by the manager

Requirements

  • Previous medical office experience preferred; previous optometry and/or ophthalmology experience strongly preferred
  • Minimum of 1 year in a position interacting with customers/patients or equivalent combination of education and experience
  • Favorable result on background check as required by state
  • Must be able to provide proof of identity and right to work in the United States
  • High school diploma or GED required

Skills

  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook

Location

Work is primarily performed in a standard office or clinical setting. Travel to other locations may occasionally be required to carry out essential job duties and responsibilities.

Physical requirements

  • Frequent walking (75%), sitting (50%), and standing (50%)
  • Regular bending, stooping, and reaching (25–50%)
  • Ability to lift, carry, push, and pull items up to 25 lbs
  • Strong fine motor skills and full use of hands for constant grasping, writing/typing, and use of technology
  • Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—required 100% of the time
  • Occasional driving or climbing may be necessary
