Responsibilities
- Provides administrative and reception support across multiple clinic locations.
- Serves as the initial interface for patients.
- Creates a welcoming environment in the patient waiting area.
- Ensures patient information and demographics are entered quickly and correctly.
- Provides accurate and professional telephone support for incoming calls.
- Handles various administrative tasks such as collecting insurance information and patient demographics, collecting patient payment, data entry, document scanning, patient follow-up calls, answering phones, and scheduling.
- Works as part of the Call Center team to ensure all phone inquiries regarding patient matters are received and followed up within a timely manner.
- Intercepts and routes incoming calls, takes messages as necessary or directs callers to the appropriate voice mail box, and schedules patient appointments over the phone.
- Acts as the company's first point of contact with the public and represents the company in a professional and courteous manner at all times.
Requirements
- No supervisory responsibilities.
- Major duties & responsibilities include answering incoming calls, checks and follow ups on voicemail messages, maintaining and updating patient demographics, scheduling patient appointments, assisting with patient registration and patient check-out as needed, and assisting with other related clerical duties and other miscellaneous duties as deemed necessary.
Qualifications, Education, Experience
- Requires High School Diploma or equivalent.
- Requires 1-2 years in administrative experience.
Physical/Mental Demands
- Work requires the ability to lift objects weighing up to 20 pounds.
- Work requires ability to sit +/- 90% of the time.
- Work requires ability to stoop and bend, to reach, and grab with arms and hands; manual dexterity and to communicate with others.
- Work requires the ability to hear, understand, and distinguish speech and/or other sounds.
- Work requires proofreading and checking documents for accuracy.
- Work requires ability to use a keyboard and visualize a computer monitor to enter and transform words or data.
- Specific vision abilities required include close vision and the ability to adjust focus.
- OSHA personal exposure risk category I & II Airborne personal exposure risk category I (Possible exposure of the healthcare worker to patients capable of transmitting M. tuberculosis).
- Universal precautions will be adhered to at all times.
Language Skills
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to write simple correspondence and reports.
- Ability to effectively present information in one-on-one and small group situations to patients, visitors, and other employees of the organization.
Mathematical Skills
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent.
Reasoning Ability
- The ability to apply general rules to specific problems to produce answers that make sense.
- The ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events) and to convey the information to others.
