Front Office & Intake Support Specialist

Key Responsibilities

  • Welcome clients and visitors in a warm, professional manner
  • Answer and direct phone calls; respond to general inquiries
  • Schedule, confirm, and adjust appointments as needed
  • Collect and verify client forms and documentation
  • Keep the front desk and waiting area clean and organized
  • Follow up on new referrals and assist with outreach efforts
  • Ensure all required intake forms are collected and uploaded to client charts
  • Reach out to individuals awaiting engagement in services
  • New Paths Program Support
    • Aid program staff with coordination and communication for the New Paths program
    • Prepare and support clients in completing required documentation
    • Follow up with clients enrolled in the program to support ongoing engagement
    • Help with scheduling, documentation, and administrative tasks related to New Paths
  • Explain available services and treatment options to clients
  • Maintain accurate records of client interactions and referrals

Qualifications

  • Previous experience in outreach, case management, or related roles within the behavioral health field
  • Knowledge of mental health disorders, treatment modalities, and community resources
  • Strong interpersonal skills with the ability to establish rapport and build trust with diverse populations
  • Excellent communication skills, both written and verbal
  • Ability to work independently and as part of a team in a fast-paced environment
  • Proficient in using computer systems and software for documentation and reporting
  • Bilingual (Brazilian Portuguese/English) and/or certification as a Recovery Coach an asset
