About the role

The Front Office Coordinator (FOC) creates a “wow experience” for patients and maintains a pleasant environment. You will ensure high levels of customer service, hold patients accountable to their Plan of Care (POC), and meet utilization goals. The FOC assists with patient “buy-in” by scheduling the Plan of Care, explaining financial commitments, and ensuring patients attend all appointments. You will also manage patient collections, track metrics, and support clinic operations.

Responsibilities

  • Assist with new employee training
  • Serve as the face and voice of the company
  • Maintain a clean and professional image
  • Provide exceptional customer service
  • Answer phones and return voicemails promptly
  • Use the two-way texting feature for patient communication
  • Schedule appointments and full Plan of Care (POC), considering:
    • Visit type rules
    • Insurance restrictions
    • Therapist specialties
    • Visit types and discernment for scheduling
  • Assist in authorization visit tracking and notify the Auth Specialist
  • Direct and sign for mail/packages
  • Monitor and clear the fax inbox
  • Manage collections to achieve 90%+ collection rate
  • Inform patients of collection expectations
  • Ensure accuracy in credit card, check, and cash collections
  • Enforce co-pay, co-insurance, and deductible policies
  • Uphold the strict cancellation/rescheduling policy
  • Use office software (email tools, spreadsheets, databases)
  • Open and/or close the clinic (closing shift ends at 6pm)
  • Clear provider schedules for planned/unplanned outages or PTO
  • Attend ongoing trainings and suggest improvement ideas
  • Ensure HIPAA compliance
  • Use Microsoft TEAMS and Outlook for company correspondence
  • Track and update metrics in Excel
  • Monitor utilization and arrival rates
  • Assist NPCs with new patient evaluation scheduling
  • Address common patient objections on the spot
  • Explain the value of physical therapy to patients or interested parties

Requirements

  • Strong multi-tasking and organizational skills with a customer-oriented approach
  • Exquisite communication and people skills
  • Excellent time management and problem-solving skills
  • Ability to type 45 words per minute using word-processing software
  • Proficiency in Microsoft® Excel, email, and internet tools
  • Ability to flexibly respond to changing demands
  • Ability to organize and prioritize tasks effectively
  • Ability to establish and maintain effective working relationships with patients, team members, and the public
  • General understanding of physical therapy and its value

Schedule

Up to 29 hours per week (part-time, closing shift ending at 6pm).
