Essential Job Duties/Responsibilities

  • Leads a team of Care Facilitators and other front desk staff.
  • Sets performance goals, develops top talent, and implements progressive improvements when needed.
  • Engages and develops team members by providing clear onboarding expectations, promoting team member development and retention through regular facilitated coaching and leadership rounding.
  • Ensures operational excellence by consistently executing the core model, following Center Playbook procedures, and maintaining focus on patient retention and positive customer experience.
  • Schedules patients efficiently using enterprise scheduling templates, ensuring 100% patient assignment and scheduling, and addressing IP/ER discharge follow-ups promptly.
  • Supports PCP scheduling by ensuring appropriate blocks are in place and managing double/over/under booking, closing scheduling gaps in a timely manner.
  • Manages patient VIP experience from entry to exit, ensuring a pleasant and memorable experience for all patients and their families.
  • Maintains OSHA, clinical, and quality standards by monitoring performance and implementing corrective action plans when needed.
  • Handles escalated patient issues, concerns, and disputes by serving as the first point of contact and resolving them promptly.
  • Supports the patient VIP experience by assisting with new patient paperwork and tours.
  • Performs other duties as assigned and modified at manager’s discretion.

Knowledge, Skills And Abilities

  • Strong business acumen and acuity.
  • Good knowledge and understanding of general Operations standards, functions, methods, techniques, practices, processes, and procedures.
  • Understanding of regulatory standards, various local, state, and federal laws applicable to the business and where to find information on standards and interpretations.
  • Excellent critical reasoning, decision-making, and problem-solving skills to analyze situations, determine risks, and find solutions to prevent future issues and resolve recurring defects.
  • Strong organizational skills and attention to details to handle multiple tasks, short deadlines, frequent interruptions, and shifting priorities in support of changing company objectives.
  • Strong leadership, training, written, and verbal communication, and interpersonal and presentation skills to drive results.
  • Working knowledge of medical insurance and/or knowledge of electronic medical record EMR systems.
  • Skilled in operating phones, personal computers, software, and other basic IT systems.
  • Proficient in Microsoft Office Suite products including Word, Excel, PowerPoint, and Outlook, plus a variety of other word-processing, spreadsheet, database, email, and presentation software.
  • Ability to communicate with employees, patients, and other individuals with a professional and courteous manner.
  • Spoken and written fluency in English.

Education And Experience Criteria

  • A high school diploma or GED equivalent required.
  • Some college coursework preferred.
  • A minimum of 3 years’ work experience in a medical facility required.
  • BLS for Healthcare Providers certification desired.

Pay Range

$20.2 - $28.83 Hourly

The posted pay range represents the base hourly rate or base annual full-time salary for this position. Final compensation will depend on a variety of factors including but not limited to experience, education, geographic location, and other relevant factors. This position may also be eligible for bonuses or commissions.
