About the role
This position is assigned to Urgent Care, Monday through Friday, from 4:00 PM to 7:00 PM. The Front Office Specialist provides exceptional customer service, ensures patients arrive for their appointments on time, and contributes to the financial success of the company by collecting appropriate co-insurance and co-payments.
Responsibilities
- Customer Service – Create a culture of exceptional customer service by continually exceeding patient expectations, maintaining positive relationships with patients, therapists, referring offices, and fellow employees.
- Schedule Management – Maintain and manage daily clinic schedules, including scheduling patients properly, blocking therapist availability, managing sudden open spots or lack of appointments, and ensuring scripts are scheduled in full. Schedule post-operative patients according to physicians’ clinical schedules and special requests.
- Chart Management – Ensure proper information is obtained from patients, including identification, patient history, insurance information, insurance cards, missed appointment policies, Medicare cap information, consent to treat, and workers' compensation information.
- Greeting Patients – Serve as the first friendly face or voice patients encounter, maintaining a pleasant and personable demeanor with all therapy patients.
- Creating Deposits – Follow all money-handling procedures, collect co-pays and co-insurances, create ledgers for the billing company to ensure proper posting to accounts, and prepare deposits for the bank.
- Tracking Referring Physicians and Other Statistics – Track the number of referring physicians and determine whether they are new or existing referrals.
- Patient Account Management – Handle medical record requests, charge corrections, requests for information, HCFA forms, log insurance information for back-office staff, and address simple patient billing concerns.
Requirements
- High School Diploma or equivalent.
- Working knowledge of Medicare and Medicaid regulations, billing, charges, and collections.
- Ability to multi-task in a fast-paced work environment.
- Proficient with Microsoft Office software (Word, Excel, Outlook).
- Track record of exceptional customer service.
- Front desk experience in a healthcare setting preferred.
- Strong customer service and interpersonal communication skills.
- Ability to quickly adapt to new work environments and personnel.

Monday through Friday, 4:00 PM to 7:00 PM.
