About the Role
We are looking for someone to come in on an as-needed basis to cover the Receptionist position at our front desk. This is a non-exempt, hourly position reporting to the Business Office Manager and/or Administrator.
Responsibilities
- Meets and greets all new residents to the facility; explains and orients residents to facility services such as telephone, cable, dietary preferences, laundry, and activities.
- Resolves customer requests, questions, and complaints; provides information to improve customer service.
- Serves as liaison between residents and other departments.
- Conducts inquiries on customer satisfaction; reports information using recommended tools and forms.
- Identifies, researches, and resolves customer concerns; reports trends to the Quality Assurance Committee and follows up on customer inquiries not immediately resolved.
- Coordinates discharge planning with resident, family, rehab, nursing, and referrals to agencies.
- Arranges for consults for residents annually or as needed.
- Serves as a role model to foster superb customer service.
- Assists the center in ensuring adherence to Federal and State regulations, including participating in the survey process and the correction of deficiencies.
- Completes clerical work for administrative and facility personnel:
- Opens, delivers, and forwards mail.
- Transcribes materials.
- Records appointments and meetings for administrative staff.
- Files necessary documents.
- Answers telephone and directs callers to the correct station.
- Refers to nursing home directory to ascertain station numbers of persons requested.
- Takes messages for staff members.
- Answers questions of callers according to nursing home policy.
- Answers routine correspondence.
- Alerts specified individuals and agencies in case of emergencies; assembles material for reports and questionnaires.
- Announces notifications over the public address system.
- Updates resident directory including residents’ names, room locations, and telephone extensions.
- Arranges for service of office equipment.
- Supports business office functions as needed:
- Receives payments for services rendered and records the amount received.
- Distributes petty cash and makes change.
- Prepares and distributes receipts for monies received.
- Passes out and collects employment applications.
- Other duties, responsibilities, and activities as assigned by supervisor, including petty cash, accounts receivable/collections, resident trust fund, renewals, and other tasks.
- Attends and participates in scheduled training, educational classes, and meetings to maintain current certification as applicable.
- Adheres to work schedules in completing and performing assigned tasks; completes all assigned tasks in a timely manner as instructed by the direct supervisor.
- Meets acceptable center attendance requirements; notifies facility before late arrival to or absence from work according to established center policy.
- Cooperates with other facility personnel to ensure services can be adequately maintained to meet the needs of residents; creates and maintains an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment.
- Adheres to established employee policies and dress code.
Customer Service Responsibilities
- Models customer service principles throughout the center and promotes appreciation of our customers’ needs with every employee.
- Role models superior customer service and presents a professional image through appearance, behavior, and speech.
- Establishes realistic expectations for service levels with families, residents, and referral sources.
Residents' Rights
- Understands, upholds, and promotes the rights of residents.
- Ensures residents can exercise rights without interference, coercion, discrimination, or reprisal from the facility.
- Ensures protected health information is kept confidential.
- Ensures resident concerns/complaints are responded to with tact and urgency.
- Reports allegations of resident abuse, neglect, and/or misappropriation of resident property.
- Coordinates effective communication with residents and companions by ensuring all arrangements for providing interpreters and/or other auxiliary aids and services needed by residents and responsible parties are made.
Safety and Sanitation
- Follows established safety policies and procedures.
- Identifies and corrects safety hazards; reports safety concerns as required.
- Observes safety needs of residents as indicated in the care plan.
- Wears and/or uses safety equipment and supplies when indicated and properly trained to use.
- Demonstrates job-specific knowledge of fire and disaster preparedness during drills or actual situations.
Requirements
- High school diploma required.
- Proficiency with Microsoft Office: Word, Excel, and Outlook.
- Possess effective communication skills to maintain positive relationships with residents, families, staff, physicians, consultants, providers, governmental agencies, their representatives, and the community.
Travel
Local travel to attend company trainings and/or workshops.

Works closely with supervisor, administrator, facility personnel, vendors, visitors, and residents.
