We are looking for a Front Desk Receptionist to support daily front office operations for a non-profit organization. This Contract position is ideal for someone who enjoys creating a welcoming environment, handling communications efficiently, and keeping administrative tasks organized.
Responsibilities
- Welcome guests and direct them to the appropriate staff members or departments in a courteous and attentive manner.
- Manage a multi-line phone system by answering incoming calls, responding to routine questions, and forwarding messages accurately.
- Receive, sort, and distribute incoming mail and other deliveries to ensure timely handling across the office.
- Prepare and send email correspondence as needed while maintaining clear and effective communication standards.
- Perform data entry and maintain organized digital and paper records, including filing and scanning documents.
- Support general front desk and administrative activities to keep daily office operations efficient and well coordinated.
- Assist with basic office tasks using Microsoft Word and Outlook, including document preparation and calendar or email support.
- Provide strong customer service to visitors, donors, and internal team members by addressing inquiries promptly and respectfully.
Requirements
- Previous experience in a receptionist, front desk, or administrative support role.
- Ability to manage inbound calls on a multi-line phone system with professionalism and accuracy.
- Strong interpersonal and customer service skills with the ability to interact effectively with a variety of individuals.
- Proficiency in Microsoft Word and Microsoft Outlook for routine office communication and document handling.
- Comfortable performing data entry, organizing files, and scanning documents with attention to detail.
- Ability to handle incoming mail, email communication, and front office responsibilities in a timely manner.
- Solid basic office skills, including managing inquiries and maintaining an organized workspace.
