Responsibilities

  • Greet and welcome patients, families, visitors, vendors, and staff with professionalism and compassion.
  • Answer and route incoming calls using a multi-line phone system in a courteous and timely manner.
  • Take accurate messages and ensure prompt delivery to the appropriate staff member.
  • Determine the urgency of calls when clinical staff are unavailable and direct callers appropriately.
  • Manage visitor check-in procedures, including visitor confidentiality forms and visitor logs.
  • Notify nursing staff of visitor arrivals and patient returns.
  • Support the Human Resources and Accounts Payable departments through a variety of clerical and administrative duties.
  • Maintain accurate office supply inventory, distribute supplies, and assist with purchasing and inventory tracking.
  • Avoid administrative support to multiple departments throughout the hospital.
  • Organize and maintain filing systems and office records.
  • Operate standard office equipment including copiers, scanners, fax machines, laminators, and other business office equipment.
  • Promote a safe, welcoming, and professional environment for patients, families, and coworkers.
  • Protect patient confidentiality and uphold HIPAA and organizational policies.
  • Perform additional duties as assigned by the Business Office Manager.

Qualifications

  • High school diploma or equivalent.
  • Previous receptionist, front desk, administrative assistant, customer service, or healthcare office experience preferred.
  • Experience operating a multi-line telephone system.
  • Proficiency in Microsoft Word and Microsoft Excel.
  • Minimum typing speed of 35 words per minute.
  • Strong organizational, communication, and multitasking skills.
  • Excellent customer service and interpersonal skills.
  • Ability to maintain confidentiality while working in a behavioral healthcare environment.

Preferred

  • Previous experience in a hospital, behavioral health, medical office, or healthcare setting.
  • Experience with inventory management and office supply ordering.
  • Experience supporting Human Resources or business office operations.
